Export your content and data

Learn how to export HubSpot content and data from your account, such as pages, contacts, and files. 

Please note: there is no way to merge all the data between HubSpot accounts. The best way to move assets between accounts is to export your data from a HubSpot account, then import the objects and/or recreate certain data in the other account.

Website content

Pages, posts, and templates

You can export HTML files of your pages and blog posts. as well as all coded files from the design manager. This is recommended if you are going to import content onto another platform. 

  • Navigate to your content:

    • Website Pages: In your HubSpot account, navigate to Marketing > Website > Website Pages.
    • Landing Pages: In your HubSpot account, navigate to Marketing > Landing Pages.
  • In the top right, click Actions > Export all pages and blog posts (HTML).
  • In the dialog box, click Export. Once the export is processed, you'll receive a download link through email and in your notification center.

To export a spreadsheet of blog post data:

  • In your HubSpot account, navigate to Marketing > Website > Blog.
  • If you only want to export some of your blogs, click the Blog filter at the top of the table and select the checkbox next to each blog.
  • Click the Actions > Export blog posts.
  • In the dialog box, click the File format dropdown menu and select a file format. If you've applied a filter, the export will default to only including those blogs. 
  • Click Export. Once the export is processed, you'll receive a download link through email and in the notification center. 
     

 

To export a spreadsheet of page data: 

  • In your HubSpot account, navigate to Reports > Analytics Tools.
  • Click Traffic Analytics
  • At the top of the page, click the Pages tab. 
  • In the upper right, click Export
  • In the dialog box, enter a name for the export. 
  • Click the File format dropdown menu and select a file format
  • Click Export. Once the export is processed, you'll receive a download link through email and in the notification center.

Files tool

To export a .zip file containing all files in the files tool:

  • In your HubSpot account, navigate to Marketing > Files and Templates > Files.
  • Click Export all files (ZIP)
  • In the dialog box, click the Select an email dropdown menu and select or add an email address to receive a download link.
  • Click Export. Once the export is processed, you'll receive a download link through email and in the notification center.

URL redirects

To export a CSV file containing all URL redirects:

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • In the left sidebar menu, navigate to Website > Domains & URLs.
  • Click the URL Redirects tab.
  • At the top right, click Export. The file will automatically download.

Sitemap

To export your sitemap:

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • In the left sidebar menu, navigate to Website > Domains & URLs.
  • Click the Sitemap tab.
  • Click the Domain dropdown menu and select a domain.
  • In the top right, click View XML file to open the sitemap in a new tab.
  • Copy and paste the sitemap into a text document on your device. You can also save the page as an XML document on your browser.

Knowledge Base

To export your knowledge base articles as csv, xls or xlsx:

  • In your HubSpot account, navigate to Service > Knowledge Base.
  • In the left sidebar, click More tools Export knowledge base articles.
  • In the dialog box, click the File format dropdown menu and select a file format.
  • Click Export. Once the export is processed, you'll receive a download link through email and in the notification center.

Analytics

Analytics tools

To export traffic analytics:

  • In your HubSpot account, navigate to Reporting > Reports > Traffic.
  • At the top, use the filters to specify a date range and frequency for the data.
  • In the upper right, click Export.

  • In the dialog box, enter a subject for the export email in the Name field. Click the File format dropdown menu to select a file format for the export.
  • Click Export. Once the export is processed, you'll receive a download link through email and in your notification center.

Prospects


To export your prospects data:

  • In your HubSpot account's global search bar, enter Website Visits.
  • Click Website Visits.
  • In the left sidebar menu, click the Options dropdown menu and select Export.

  • In the dialog box, click the File format dropdown menu to select the file format for the export.
  • Click Export. Once the export is processed, you'll receive a download link through email and in your notification center.

Workflows

You can export a spreadsheet containing information about all of your workflows, and you can export images of individual workflows.

Workflow spreadsheet exports will contain information such as:

  • The name of the workflow.
  • Whether or not the workflow is currently active.
  • Total enrollments and the count of records currently enrolled.
  • Total records that have joined the workflow goal list and the total conversion rate.
  • Create date and the user who created the workflow.
  • Last modification date and the user who modified it.
  • The workflow type.

Please note: workflows exports don't include performance data or the workflow's history. In addition, workflow exports don't include data from emails used in the workflow. Marketing email exports do include an Associated workflows column which identifies the workflows that an email is being used in. Learn more about exporting your marketing email data.

To export a spreadsheet of all workflows not located in folders:

  • In your HubSpot account, navigate to Automation > Workflows.
  • In the upper right, click the Table actions dropdown menu, and select Export view. The file will download automatically.

To export a spreadsheet of all workflows in a folder: 

  • In your HubSpot account, navigate to Automation > Workflows.
  • Click the name of the folder. 
  • In the upper right, click the Table actions dropdown menu, and select Export view. The file will download automatically. 

To export an image of an individual workflow:

  • In your HubSpot account, navigate to Automation > Workflows.
  • Click the name of a workflow.
  • In the upper right, click MoreExport. The export will process, then download as a .png file. 



Necessary disclosure:

HubSpot will store workflow action logs data within the below time periods:

  • 180 days: all workflows action log data will be stored.
  • 180 days - 2 years: high level action log data such as object ID (which contact, company, deal, etc.), event type (enrollment, unenrollment, etc.), and action type will be stored.
  • 2 years+: historical data of enrollments will be retained in our system to enable workflow based filters.

Reports and dashboards

In HubSpot, there are a few ways to export your reports:

  • For individual reports, you can export the report as a CSV or Excel file, or send an email containing a link to the report in HubSpot. Emails can be sent once or scheduled to be sent daily, weekly, or monthly. 
  • For dashboards, you can send an email containing a link to a dashboard in HubSpot. Emails can be sent once or scheduled to be sent daily, weekly, or monthly. 
  • With the Slack integration, you can share a dashboard to a specific Slack channel.

Please note: a funnel report displays objects that changed stages within the selected date range. However, when you export a funnel report, the export file will contain the objects created in that date range. Hence, the export file will not match the report data.

Please note: exporting all your contacts will include unsubscribes. To exclude them, add Contact property | Unsubscribed from all email | is not equal to | True to your filter.

Sales data

Quotes

To export your quotes:

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • In the left sidebar menu, navigate to Objects > Quotes.
  • On the Setup tab, in the Download all quotes section, click Download.
  • Once the export is processed, you'll receive a download link through email and in your notification center.

Sales documents

To export an individual sales document:

  • In your HubSpot account, navigate to Sales > Documents.
  • Hover over the document you want to download, then click the Actions dropdown menu and select Download. The document will automatically download.

Sales activity

You can export sales activity data (calls, chat conversations, meetings, etc.) by creating reports with the custom report builder or using HubSpot's Engagements API.

Customer feedback

To export customer feedback survey data:

  • In your HubSpot account, navigate to Service > Feedback Surveys.
  • Click the name of your survey.
  • On the Responses tab, click Export submissions in the upper right.
  • In the dialog box, click the File format dropdown menu and select the format of the export file.
  • Once the export is processed, you'll receive a download link through email and in your notification center.

Data sync

To export sync status data from one of your apps connected using HubSpot data sync:

  • In your HubSpot account, click the Marketplace icon marketplace in the main navigation bar. Under Manage, select Connected apps.
  • Click the app.
  • On the Sync overview tab, click the number under the In syncFailing, or Excluded column.
  • In the right panel, click Export list.
  • In the dialog box, click the File format dropdown menu and select a format.
  • Click Export.

Once the export is processed, you'll receive a download link by email and in your notifications.
