Understand HubSpot order totals, billing, and charges | Frequently Asked Questions

When buying a new HubSpot subscription or making changes to your existing one, you’ll need to complete an online checkout before finalizing your order. During this process, you may have questions about how your total is calculated, when payment is due, how often you’ll be billed, or why taxes and prorations appear on your order.
Below are frequently asked questions related to purchasing a HubSpot subscription.
Where can I find the amount due?
Your total amount due is displayed in your order details as Order total in the Order Summary section.
If your HubSpot account has a previous balance prior to the signing of this quote, your total amount due is displayed in your order details as Total amount due.
Please note: you'll only be automatically charged on the day the order goes into effect if your payment method is set up for automated payments (e.g., credit card, ACH, SEPA). If your payment method isn't automated, you must complete payment manually through the invoice.
When will I be charged?
Payment is due in full when the order goes into effect. The effective date is listed in your order details.
If your payment method is set up for automated payments (e.g., credit card, ACH, or SEPA), it'll be charged automatically on the effective date.
If your payment method isn’t automated, you must manually complete the payment.
What are recurring fees?
If your order includes recurring services, the recurring fees are listed in your order under:

Recurring annual fees

Recurring quarterly fees
-
Recurring monthly fees
These fees are billed based on the billing term selected in your order.
How often will I be charged?
Your billing frequency depends on the billing terms selected in your order:

Monthly: you’ll be charged every month.

Quarterly: you’ll be charged every quarter.

Annually: you’ll be charged once per year.

The Billing Details section at the top of your HubSpot quote.

What exactly is included in the order total?
Your order total may include:
-
Subtotal: the base price minus discounts.
-
Order total: this is your total amount due when the new order goes into effect.
-
Total amount due: if your HubSpot account has a previous balance prior to the signing of the quote, this is your total amount due when the new order goes into effect.

Tax: calculated based on your company location, specified by your company address, and local regulations.

Proration/Prorated Adjustment: adjustments for mid-cycle changes to ensure no duplicative billing.

One-time fees: setup or activation charges.
-
Recurring fees: charges based on monthly, quarterly, or annual billing.

Does the order total include tax or VAT ?
Yes. The order total may include tax depending on your location. Tax is calculated as a percentage of your subtotal after discounts for all products listed in your order.
Tax rates are determined by:

Your company address.

Local tax regulations applicable to that address.
If you have a tax ID, ensure it’s entered in the appropriate field to help ensure accurate tax calculations.
Why do I have to pay VAT or tax?
Tax is applied based on your company address and local tax laws. If your location requires VAT or other taxes, they’ll be added to your order total.
If applicable, proration amounts will also include tax.
I don't understand my prorated adjustment. What is proration?
Proration ensures that you are not double-billed when changes to your HubSpot subscription are made mid-cycle (i.e. during a billing cycle).
For example, you purchased a Marketing Hub Professional subscription with annual billing terms on Jan. 1, 2026.
On March 1, 2026, you decide to upgrade to Marketing Hub Enterprise for the remainder of your commitment term ending Dec. 31, 2026.
To ensure you are not billed for both Marketing Hub Professional and Marketing Hub Enterprise from March 1 to Dec. 31, a prorated adjustment will take place for Marketing Hub Professional for that time, so that you are only billed for Marketing Hub Enterprise going forward.
When your subscription changes mid-cycle, proration:

Removes the unused billing charges from your previous contract.

Adds charges for the new contract starting from its effective date.
-
Covers the period through the end of the billing cycle you've already been invoiced for.

May change from day-to-day, as the proration is calculated on a daily basis.
The proration amount may include tax, depending on your location and if tax was included in a previous bill.
Why is my order total different from what I expected or from the quote I received?
Your total may differ due to:
-
Proration adjustments: this applies to mid-cycle changes.

Open invoices: this refers to previous balances in your HubSpot account, prior to the signing of this quote.

Taxes: these are calculated based on your company address.
Review the breakdown of your order to understand each component of the total.
Why is the checkout button grayed out?
If the checkout button is grayed out, it’s typically due to a permission issue.
Only HubSpot users with Billing Admin or Super Admin permissions can complete a purchase.
If you don’t have the correct permissions, contact your Account Admin.
When will changes to my subscription take effect?
The effective date of the changes is shown on your order. You can find the date under the Removed from Subscription Term section. All charges and subscription changes begin on this date.
