Set up and use the HubSpot Agent for Copilot

Use the HubSpot Agent for Copilot to access your CRM data directly from Microsoft 365 Copilot using natural language prompts.
After adding the HubSpot Agent to your Microsoft environment, you can generate AI insights in Copilot based on your HubSpot records and then take actions back in HubSpot.
For example, Sales teams are able to review active deals and sort them by close date to prioritize work. Support reps can view their assigned tickets and sort them by priority and creation date. Customer Success teams have the ability to compare resolution approaches and results across support channels to identify trends.
Before you get started
Before you begin working with the agent, make sure to fully understand what steps should be taken ahead of time, as well as the potential consequences of using it.
Understand requirements
- You must have a Microsoft 365 Copilot license or the Microsoft 365 Copilot Chat add-on license with an eligible Microsoft 365 license.
- A Microsoft 365 admin must add the HubSpot Agent to the Microsoft tenant.
Understand limitations & considerations
- All interactions remain subject to HubSpot’s API usage limits.
- You can access the HubSpot Agent through Microsoft 365 Copilot chat and in Copilot within Microsoft Teams.
- The HubSpot Agent is available on web, desktop, and mobile.
- The HubSpot Agent respects user permissions as defined in HubSpot. This means users can only view CRM data in Copilot that they’re allowed to access in HubSpot.

Please note: if your HubSpot account has Sensitive Data turned on, Copilot cannot access any engagement data for added security.

Add the HubSpot Agent to a Microsoft 365 tenant (admin required)
A Microsoft 365 admin must add the HubSpot Agent to the Microsoft 365 tenant for the first time.
- In your Microsoft 365 admin center, navigate to Agents > All agents.
- Search for HubSpot.
- Verify that the agent's status is Available. If the status is not Available, click the agent and select Unblock.
- On the Users tab, you can configure who can install the agent.
- To install the agent for all users, click All users in the organization can install.

- This automatically installs the agent for users in your organization.
- Users won't need to search for and add the agent manually in Copilot Chat.
Connect and use the HubSpot Agent for Copilot
After the Microsoft 365 admin has turned on the HubSpot Agent, other users can connect and start using it.
- Navigate to Microsoft 365 Copilot Chat or Copilot in Microsoft Teams.
- In the left sidebar menu, under Agents, click HubSpot.
- In the Copilot chat window, type your prompt and press enter. Or select a prompt from the recommended HubSpot prompts.
- You’ll be prompted to log in to your HubSpot account. Click Sign in to HubSpot.
- Select your HubSpot account and the permissions you want to grant to the agent, then click Connect app.
- Copilot will use HubSpot context when responding.

Which platforms is the HubSpot Agent for Copilot available on?
The HubSpot Agent for Copilot is available as the HubSpot Agent on Microsoft 365 Copilot web, desktop, and mobile surfaces.
Will the HubSpot Agent for Copilot require a paid Microsoft 365 subscription?
To access Copilot in Microsoft 365, you must have a paid Microsoft 365 account. Please refer to the official Copilot pricing documentation.
Will the HubSpot Agent for Copilot support multiple languages?
Yes, the agent supports multiple languages.
What HubSpot CRM data will the agent have access to?
You can use natural language prompts to ask the HubSpot Agent for Copilot to give you insights into your contacts, companies, deals, their associations, and default properties.
Can Copilot update my HubSpot data on my behalf?
The HubSpot Agent for Copilot is limited to read-only access. It can fetch core CRM objects and their associations within Microsoft 365 Copilot, but it doesn't have the ability to create or edit data in HubSpot. Associations are limited to contacts, companies, and deals.
Does the HubSpot Agent for Copilot require most of your database tagged by persona?
While clean and well-organized data improves the quality of insights, the HubSpot Agent for Copilot does not require perfectly tagged data.
I'm a HubSpot partner who manages multiple HubSpot accounts. Can I connect a specific account to a Copilot project?
You can only connect one HubSpot account at a time to a single Microsoft 365 Copilot account. To work with a different HubSpot account, you’ll need to disconnect the current one and reconnect the desired account from Microsoft 365 Copilot. While you can’t manage multiple connections simultaneously, you can manually switch between accounts.
How long does Copilot retain and/or delete data?
After your data is shared with Copilot, Microsoft 365’s Terms of Service apply. To better understand their data practices, including whether and how long data is retained, we recommend visiting Microsoft 365 Copilot’s Privacy page.
Will the HubSpot Agent for Copilot respect my data localization preferences?
Once your data is in the Microsoft 365 Copilot platform, the terms you have with Microsoft will govern where and how your data is processed in that tool. We recommend reviewing your Microsoft 365 Copilot license terms depending on your plan to best understand where your data will be stored and processed.
Will my customer data be used to train Copilot?
Prompts, responses, and data accessed through Microsoft Graph are not used to train the LLMs that power Microsoft 365 Copilot. For more information on how Microsoft uses your data, we recommend visiting Microsoft 365 Copilot’s Privacy page.
Will the HubSpot Agent for Copilot have access to sensitive data?
No. The HubSpot Agent for Copilot does not provide access to custom Sensitive Data Properties or sensitive content from other Sensitive Data Covered Services, including Personal Health Information and other forms of Highly Sensitive Data. It has read access to standard CRM records such as contacts, companies, deals, and their associations. Any properties marked as Sensitive Data are not accessible by the agent.
How does the HubSpot Agent for Copilot handle user permissions?
The HubSpot Agent for Copilot automatically respects the user permissions defined in HubSpot. This means users will only see in Copilot the CRM data they’re allowed to access in HubSpot. For example, individuals will only see data for contacts or deals they have permission to view.
Some CRM objects in HubSpot have customizable permissions. When access is limited to specific contacts, whether for individuals or teams, Copilot will only be able to view those same contacts. Learn more about user permissions in HubSpot.
How do admin controls work for the HubSpot Agent for Copilot?
Admins control permissions and access to the HubSpot Agent for Copilot, ensuring that their organization's data is handled securely while still providing teams with the tools they need.
To get started, a Microsoft 365 admin must add the HubSpot Agent for Copilot to your organization's Microsoft 365 environment and choose which users can access it.
A Super Admin or a user with App Marketplace permissions in your HubSpot account must set up the connection for the first time and select the allowed permissions. Once this is done, they can grant access to other users.
- Partner Admin permissions (recommended).
- Super Admin permissions.
- A custom permission set that includes App Marketplace access.
Once these steps have been completed, authorized users can begin using the HubSpot Agent for Copilot.
How is customer or CRM data kept secure with the agent?
You have control over what data you share, with the HubSpot Agent for Copilot, and the permissions and settings you’ve selected in your HubSpot and third party accounts. Can Microsoft copy customer CRM data or lists through the HubSpot Agent for Copilot?
No, it does not have access to copy CRM data or entire customer lists through the HubSpot Agent for Copilot.
Could using this HubSpot Agent for Copilot inadvertently enable competitors to gain insights into a company's CRM data or strategy?

Can external agencies or consultants with Super Admin access connect CRM data directly to Copilot without additional oversight?
The HubSpot Agent for Copilot respects the permission access you’ve granted in your HubSpot account. Super Admins or users with App Marketplace permissions control their organization’s access to the HubSpot Agent for Copilot, including external agencies or consultants.
Does the HubSpot Agent for Copilot comply with privacy regulations, such as GDPR, particularly in the EU, and HIPAA in the U.S.?
Once you turn it on, the HubSpot Agent for Copilot has access to standard CRM records. It does not have access to custom Sensitive Data Properties or any Sensitive Data Covered Services.
Your use of HubSpot Services is governed by HubSpot's Data Processing Agreement and Business Associate Agreement. Ultimately, you are best able to assess your compliance needs and how HubSpot fits into them.
Are there potential risks associated with the agent?
We encourage all of our customers to carefully read and understand both the terms that pertain to their HubSpot account as well as the terms of their plan with Microsoft 365. You should always carefully evaluate the benefits and risks of any tools you choose to use.
Can Copilot hallucinate or provide inaccurate data? What can customers do to protect against that?
Copilot can make mistakes. We recommend a few techniques for ensuring that the results produced by the HubSpot Agent for Copilot are accurate and reliable:
- Make sure your connected account data is up to date and accurate.
- Have a human in the loop to review, refine, and fact check the output.
- Ask for citations and references for any important facts and assertions so that you can quickly and easily confirm them in your HubSpot account.
- Never indiscriminately rely on any AI outputs to make important decisions.
What data does HubSpot collect about AI assistant conversations when using the HubSpot MCP server?
When using HubSpot's MCP server, HubSpot may collect summaries of tool calls, including the intent of the request and whether it succeeded. We take steps to anonymize names of people, companies or deals. This data is used to monitor connector performance and to help us improve your experience.
