How to import records from Salesforce

Once you've integrated your HubSpot and Salesforce accounts, you'll be able to use the Import from Salesforce feature in HubSpot to add contacts, companies, deals, and tasks to your HubSpot account from Salesforce without the need for a CSV file to import.
Please note: using the Import from Salesforce feature in HubSpot requires HubSpot to communicate with your Salesforce account via Salesforce's API. Different Salesforce accounts have different limits put into place by Salesforce on the amount of API calls that an account can use in a 24-hour period. Please confirm with your Salesforce Administrator that you have enough API calls for the import by multiplying the number of records that you are importing by 3 and comparing that to your daily limit.

For example, if your daily limit is 5000 API calls, and you want to import 350 records into HubSpot, the system would use around 1,050 API calls for the import, which would keep your account below the set limit on API calls. But if you had a daily limit of 5000 API calls and you wanted to import 5,000 records into HubSpot, the system would use around 15,000 API calls for the import and you would exceed your daily limit. In situations where you know you will be going over your limit, such as initially importing your Salesforce database into HubSpot, you can call Salesforce to see if you can temporarily increase your daily API call limit. Additionally, Salesforce has a built-in report in the Administrative Reports folder called API Usage Last 7 Days that can help you determine how many API calls your Salesforce account has been using in the last 7 days.

Finally, you can set a limit within HubSpot of how many API calls HubSpot will use per day by navigating to your Account Menu > Integrations and then selecting Settings for the Salesforce section. Under API Call Use, enter a new limit in the Allocated to HubSpot field. This limit will only affect API calls coming from HubSpot, which still makes it possible for other integrations to push you over your daily limit. Once the HubSpot limit is reached, HubSpot will stop syncing data until the next day.

Instructions

Follow these steps to import leads, contacts, accounts, opportunities, and tasks from Salesforce into HubSpot.

Navigate to Contacts

From your HubSpot Marketing Professional or Enterprise account, navigate to Contacts > Contacts. From your Sales Professional account, navigate to Contacts.

Start your import

Select Import in the top right-hand corner. This will bring you to your imports dashboard. Click Start an import at the top-right.

Choose to Import from Salesforce

On the What would you like to import? screen, select Salesforce recordsthen click Next.

Select a set of Salesforce records to import

On the next screen, select the set of Salesforce records that you would like to import into HubSpot. You can import:

Everything

  • All lead records from your Salesforce account
  • All contact records from your Salesforce account
  • Account data for any contacts that are already syncing with HubSpot (only available if the account sync is enabled)
  • Opportunity data from the most recently created opportunity for your contacts that are already syncing with HubSpot (only available if the opportunity sync is enabled)
  • Salesforce activities tied to contact records in Salesforce that are already syncing with HubSpot

Leads

All lead records from your Salesforce account 

Contacts

All contact records from your Salesforce account 

Leads & Contacts

  • All lead records from your Salesforce account
  • All contact records from your Salesforce account

Accounts (only available if the account sync is enabled)

Account data for any contacts that are already syncing with HubSpot 

Opportunities (only available if the opportunity sync is enabled)

Opportunity data from the most recently created opportunity for your contacts that are already syncing with HubSpot 

Tasks (only available if the task sync is enabled)

Salesforce activities tied to contact records in Salesforce that are already syncing with HubSpot 

A campaign

All contacts associated with an active Salesforce campaign 

Please note: both HubSpot and Salesforce advise against using duplicate records in Salesforce as it introduces the possiblity for data corruption. For more information, check out this article.

Once you've selected the Salesforce object you'd like to import, click Review

Confirm your import

You will see a preview of the number of records you'll be importing into HubSpot from Salesforce. Review your choices, then click Begin import to confirm. 

You'll then be returned to the imports dashboard, where you can view the status of your import.
