A guide to the calls index page

When you make a call in HubSpot, the call recording, call outcome, call notes, and other call details are available at a glance in the calls index page. This includes calls made through HubSpot's calling tool, calls made using HubSpot's integration with Zoom, or using a third-party calling provider that supports Conversation Intelligence (CI). Use the calls index page to quickly lookup a past call, segment calls based on specific filter criteria, or access the call review tool. 

Search calls

You can lookup a specific call by searching for specific terms included in the call notes, or the call title. This allows you to locate a call without having to remember exactly which record the call is associated to. By default, the calls index page displays recorded calls, but you can customize the properties that appear and filter calls to narrow your search. 

  • In your HubSpot account, navigate to Contacts > Calls.
  • By default, your recorded calls will appear in the table. Use the search bar to lookup a specific call. 


  • Use the dropdown menus at the top to filter calls that have a transcript or were made by a specific user.
  • To customize the call properties that appear in the table, click the Table actions dropdown menu in the top right and select Edit columns. In the dialog box:
    • On the left, select the checkboxes next to the properties you want to appear in the table.
    • On the right, click and drag the properties to rearrange them in the table.
    • To remove a property, click x.
    • Click Apply.

Segment calls

You may want to segment your calls further based on specific call properties. You can save any filters that you apply in a view that you can access whenever you want an overview of the calls that meet that criteria. For example, you can create a saved view of calls where a demo or a cancellation is discussed. 
  • In your HubSpot account, navigate to Contacts > Calls.
  • At the top of the table, click Add view.
    • Select Create new view from the dropdown menu.
    • In the dialog box, enter a name for your view and select which users can access the saved view.
    • Click Save.
  • Your new view will appear as another tab at the top of the table. To filter the view by specific call properties, click More filters.
    • In the right panel, click AND to add more filter criteria.
    • To remove existing filter criteria, click the delete delete icon.
    • After making any changes to the filters applied, click Save view in the top right, then click Save
  • To pin the view so it always appears as a tab in your table, click the tab then select Pin view to keep open.


  • Pinned views will appear at the top of the table, or you can access any other saved views by clicking All views. If you make changes to the filters applied to your view, make sure to click Save view in the top right.

Preview call details 

To review the call details at a glance, access the call review tool directly from the calls index page.

  • In your HubSpot account, navigate to Contacts > Calls.
  • Hover over a call and click Preview.
  • In the panel on the right, the call review tool will appear where you can access the call recording.
  • If you're a user in a Sales Hub or Service Hub Enterprise account, you can access the call speaker tracks and transcript, or navigate directly to the call review tool by clicking View Full Screen.
