Send a marketing email from a contact's owner

Sending marketing emails from someone the recipient knows at your company can increase email engagement. You can use personalization tokens to set an email's from name, address, and signature as belonging to a contact's owner. 

If you want to send your emails from someone other than the contact owner, you can use these same steps using custom contact properties.

Understand limitations and considerations

  • All test emails are sent from noreply@hubspot.com, to protect your email deliverability rates. When you send the email to your contacts, it will be sent with the From name and From address you've specified.
  • When sending a test email, the signature will only appear if you choose to receive the email as a specific contact. 
  • Each contact owner can customize their own signature. You cannot edit another user's signature. 

Set from name and address

  1. In your HubSpot account, navigate to Marketing > Email.
  2. Click the name of an existing email draft, or click Create email in the upper right.
  3. In the email editor, click the inbox content module at the top of the page. 

  1. Click the From name dropdown menu and select  in the Personalization token section. 
  2. Click the From address dropdown menu and select in the Personalization token section.

Add the contact owner's signature

  1. In your HubSpot account, navigate to Marketing > Email.
  2. Click the name of a drafted email. 
  3. In the email editor, place your cursor where you want to insert the signature token.
  4.  In the upper right section of the rich text toolbar, click Personalize.
  5. In the dialog box, click the Token dropdown menu, then select Contact owner > Signature.
  6. If the contact who receives the email does not have an assigned owner, the signature will come from the fallback user. If you don't have a fallback user set, enter an email signature in the Fallback value field. 
  7. Click Insert.
