Set limits for record associations

Available with any of the following subscriptions, except where noted:

Configure limits for the number of associated records or labels used to describe associations to help maintain accurate association data. For example, you can set a limit of one associated company per deal, five associated contacts per deal, or one contact labelled Billing contact per company.

Permissions required Super Admin permissions are required to configure association limits.

Set association limits

  1. In your HubSpot account, navigate to Data Management > Data Model.
  2. In the upper right, click Edit data model.
  3. Click the Associations tab.
  4. In the Search for an object text field, enter the name of the object you want to manage labels for (e.g., contacts).
  5. Click the name of the object.
  6. On the right, locate the other object with which you want to manage the association label (e.g., deals).
  7. On the line connecting the two objects, click the association limit button. By default, most association labels are 1-to-Many (e.g., one contact can be associated to many deals).
  8. In the right panel select an option for each direction: 
    • Many [records]: a record can be associated with many records of the other object.
    • Custom: a record can be associated with a specified number of records of the other object. In the field, enter a number to set a custom limit. You can configure any number up to 10,000.
    • Click Save.

Set association limits by association label

  1. In your HubSpot account, navigate to Data Management > Data Model.
  2. In the upper right, click Edit data model.
  3. Click the Associations tab.
  4. In the Search for an object text field, enter the name of the object you want to manage labels for (e.g., contacts).
  5. Click the name of the object.
  6. On the right, locate the other object with which you want to manage the association label (e.g., deals).
  7. Click the object card.
  8. In the pop-up box, on the label you want to manage, click the ellipsesIcon three horizontal dots icon and select Edit label limit.
  9. In the right panel, select an option for each direction:
    • Many [records] can have label: a record can be associated with many records of the other object using the label.
    • Custom: a record can be associated with a specified number of records of the other object using the label. In the field, enter a number to set a custom limit.
    • Click Save.

Once saved, users cannot create associations or set association labels that exceed the limit.

Please note: if the total association limit is set to one and the label limit is set to custom or many, the association limit takes precedence. For example, if the number of associated contacts is limited to one and the Decision maker limit is set to many, the maximum number associated contacts is one whether or not it's labelled Decision maker.
