Create and manage one-to-one email drafts

When creating a one-to-one email for individual contacts in HubSpot, you may not want to send the email immediately. Instead, save the email as a draft for later, or schedule the email for a different time. 

After saving or scheduling your email, you can return to the email to further edit your content. You can also pin important emails to your contact's activity timeline, send a direct link to the email to your team for review, or delete the email. 

Seats required  A Core, Sales Hub, or Service Hub seat is required to connect a personal email account and send one-to-one emails in HubSpot. Users with a View-Only seat cannot connect personal emails to HubSpot. Learn more about managing seats.

Permissions required Users can only send one-to-one emails to contacts that they have access to. Learn more about assigning access to records.

Save one-to-one emails as a draft

  1. In your HubSpot account, navigate to your contacts, companies, deals, or tickets.
  2. In the left panel, click the email Email icon.

  3. In the pop-up box, set up your email.
  4. At the bottom of the email editor, click the downCarat dowdododown carat icon and select Save as draft. Then, click Save Draft.

The email will appear on the CRM record's timeline. You can then further edit or send the email. It'll also appear in the one-to-one email index page.

Manage your saved or scheduled one-to-one emails

  1. In your HubSpot account, navigate to your contacts, companies, deals, or tickets.
  2. In the CRM record timeline, search for and and click the one-to-one email.
  3. To pin your one-to-one email to the CRM record timeline, click the Actions dropdown menu and select Pin
  4. To copy a direct link to your one-to-one email, click the Actions dropdown menu and select Delete.
  5. To delete an email, click the Actions dropdown menu and select Delete. Then, click Delete draft or Delete scheduled email.

Edit and send your saved or scheduled one-to-one emails

  1. In your HubSpot account, navigate to your contacts, companies, deals, or tickets.
  2. In the CRM record timeline, search for and and click the one-to-one email.
  3. To continue editing your saved or scheduled one-to-one emails, click the Actions dropdown menu and select Edit for drafted emails or Cancel and edit for scheduled emails. 
  4. In the pop-up box, continue editing your email.
  5. After editing your email, click the downCarat dowdododown carat icon and select from the following:
    • Send: send the email immediately.
    • Send Later: schedule your email for a later time. Learn more about scheduling one-to-one emails. 
    • Save Draft: save the email as a draft.
