Set up IMAP settings for your email domain

Users with Admin or Super Admin permissions can configure their email domain's IMAP settings for their account. When other users connect an inbox using IMAP, the IMAP and SMTP server information will pre-populate. This can be used to preconfigure the IMAP and SMTP server settings, and can also be used to set up static IPs for a domain. 

Set up IMAP settings

To configure IMAP settings for your email domain:

  • In your HubSpot account, click the settings icon settings in the main navigation bar.
  • In the left sidebar menu, navigate to Integrations > Email Integrations.
  • At the bottom of the Connected Emails screen, click to expand the Advanced Options menu.  
  • If you already attempted to connect your inbox with IMAP, the email domain(s) will be listed here. Click Edit to configure the settings for that domain.  To add a domain to email from, click Add IMAP settings
  • In the right panel, enter your email domain's IMAP settings. You'll need to include the following information:
  • If your SSL certificate is not signed by a Certificate Authority, select the Allow non-secure certificate checkbox.
  • To enable whitelisting for this domain, select the Use static IP addresses checkbox.

Once your domain is connected, any time a user in your account connects an inbox to HubSpot using IMAP, the IMAP settings will automatically populate.

View list of IPs to whitelist

Your IT team might only allow certain IP addresses to connect with your inbox. If this is the case, your IT team will need to whitelist the IP addresses that HubSpot uses to connect your inbox. 

Please note: to access these static IPs for whitelisting, you must enable whitelisting for this domain. 

  • In your HubSpot account, click the settings icon settings in the main navigation bar.
  • In the left sidebar menu, navigate to Integrations Email Integrations.
  • At the bottom of the Connected Emails screen, click to expand the Advanced Options menu.  
  • Next to your domain, click View connection IPs
  • In the dialog box, click Copy next to the IP range and whitelist them. ip-addresses-to-whitelist
  • Click Done

To enable these static IPs for an email domain you already attempted to connect:

  • In your HubSpot account, click the settings icon settings in the main navigation bar.
  • In the left sidebar menu, navigate to Integrations Email Integrations.
  • At the bottom of the Connected Emails screen, click to expand the Advanced Options menu.
  • Next to the domain, click View connection IPs

Please note: when you edit a domain's settings, you are editing the settings for all inboxes in this domain. If you enter the incorrect settings, all inboxes in this domain will disconnect from HubSpot. 

  • In the right panel, click to toggle the Use Static IP addresses switch on. 
  • Click Done

When this setting is enabled for this domain, the IP ranges will be available for whitelisting. All inboxes in this domain will update to inherit the settings you configured in your account settings.
