Filter activity index pages and record timelines

Available with any of the following subscriptions, except where noted:

View activities in bulk on an index page or individually on a record's timeline under the default Activities tab. Activities include notes, emails, calls, tasks, meetings, and other communications. You can also view the historical changes made to certain activities.

Please note: your account may use personalized names for each object (e.g., account instead of company). This article refers to objects by their HubSpot default names.

View and filter activities on index pages

Permissions required Super Admin permissions are required to view communications such as LinkedIn, SMS, and WhatsApp messages.

To filter, edit, or delete activities in bulk, you can use activity index pages. Learn how to edit the columns shown for activity views.

  1. In your HubSpot account, navigate to CRM > Contacts.
  2. In the upper left, click the Contacts dropdown menu and select an activity. The available activities are calls, communications (e.g.,LinkedIn, SMS, and WhatsApp messages), emails, meetings, notes, postal mail, and tasks.
  3. Click a view tab. Learn more about creating and managing custom view tabs.
  4. Above the table, click a property quick filter, or click Advanced filters to set custom filters to view activities based on specific criteria. Learn more about configuring quick filters or using advanced filters.
  5. To the left of the activity names, select the checkboxes next to activities to make bulk changes and click an option:
    • Edit: make changes to property values. In the dialog box:
      • Select a property to edit, then set the new value. Learn more about editing in bulk.
      • Click Update.
    • Delete: delete the selected activities. In the dialog box:
      • Enter the number of activities to delete.
      • Click Delete to confirm.
  6. Click the activity’s name to view or edit an individual activity

View and filter activities on a record

On the middle column of an individual record, you can view activities on the default Activities tab or on other tabs in default and custom activity cards. You can also view the historical changes of certain activities.

Subscription required

  • Accounts with free tools created on or after February 4, 2025, only activities created within the last 30 days will appear on the activity timeline and activity cards. This applies to most activities excluding notes, tasks, a record’s pinned activity, or activities accessed via direct links. Instead, you can use activity index pages to view activities created more than 30 days ago.
  • Accounts with a Starter, Professional, or Enterprise subscription can view all activities created more than 30 days ago on both a record's timeline and an activity index page.
  • Accounts with a Professional or Enterprise subscription can filter activities by HubSpot teams.

Use the activities tab

The selected activities and filters apply to all records for that object and are unique to each user.

  1. Navigate to your records (e.g., In your HubSpot account, navigate to CRM > Contacts.).
  2. Click the name of a record.
  3. In the middle column, click the Activities tab.
  4. To view certain activities only:
    • Click the Notes, Emails, Calls, Tasks, or Meetings tabs.
    • Click the Filters button to show or hide the activity filters (e.g., Email direction, Call outcome).
    • Click an activity filter dropdown menu and select an option to show only certain activities (e.g., calls with call outcome equal to connected)

  5. To filter the All activities timeline:
    • Show or hide activity threads: at the top of the timeline, click the Collapse all dropdown menu, then select Expand all or Collapse all to expand or collapse the details of all displayed timeline activities.
    • Customize displayed activities: at the top of the timeline, click the Activity dropdown menu and select the activity types checkboxes to only show certain activities.
    • Filter all activities: at the top of the timeline, click a property dropdown menu to filter all displayed activities (e.g., Activity assigned to, All time).
    • Filter by HubSpot team: at the top of the timeline, click More, then select HubSpot team to filter by activity logged or created by members of a team.
    • Search for a specific activity: at the top of the timeline, in the Search activities text field, enter search terms to search for a specific activity. The results returned are based on terms in the following activity fields: Email subject, task subject, task body, note body, call body, and meeting body.

Use activity cards

Activity cards can be added to your records and sidebars in your object settings. The activity cards include:

  • Recent activities: displays the three most recent activities. You can edit the card to decide which activities to display and in which time period.
  • Upcoming activities: displays the three nearest upcoming activities. You can edit the card to decide which activities to display and in which time period.
  • Allbound timeline: displays activities in a calendar view, broken down by the direction of the activity (i.e. inbound or outbound).
  • Custom activity totals cards: any cards you’ve created to display activities.
To access and use activity cards, you'll need to add them to the middle column of your record view. If the cards are included on your records:
  1. Navigate to your records.
  2. Click the name of a record.
  3. Navigate to the tab with the cards, then scroll to the card.

Recent and upcoming activities cards

To use these cards:
  • Click the Filter by dropdown menu, then select or clear the checkboxes next to the desired activities.
  • Click the right arrow to expand and the down arrow to collapse. To expand or collapse all activities on the card, click Collapse all, then select Expand all or Collapse all.
  • Expand the activity, then edit its details.
  • Expand the activity, then click View full activity to view all details for an activity.

Allbound Timeline card

To use the default Allbound Timeline card:

  • Click the All time dropdown menu, then select a time frame to view activities within a specific time frame. 
  • Click the All activities dropdown menu, then select or clear the checkboxes next to the desired activities to view specific activity types.
  • Click the Activity assigned to or HubSpot Team dropdown menus then select checkboxes of specific users or teams to filter by the user or team that's assigned to the activity. Select Unassigned to include only activities without owners.
  • Click Clear all to clear all filters.
  • Scroll left and right or click the left and right arrows to view previous or future weeks.
  • Click Today to return the calendar to the current day.
  • Click an activity to view more details about it in the right panel.

View an activity's history

Manually logged activities such as emails, calls, and notes can be edited and contain their edit history.

To view a history of changes to an activity:

  1. Navigate to your records.
  2. Click the name of the record you want to check.
  3. Click the Activities tab.
  4. Locate the activity you want to analyze. If the activity details are collapsed, click the right right arrow in the top left of the activity to expand it.
  5. Click Actions, then select History.
  6. In the right panel, view the history of changes to the activity.
