Move deals forward with deal progression

The deal progression card uses HubSpot’s AI to help sales teams review deal context, update CRM data, and identify recommended next steps from one place. Deal progression can analyze logged meetings, calls, and emails to recommend actions on deal records and suggest deal property updates.

For example, after a call with a buyer, a sales rep at Sprocket Supply Co. can review prioritized next best actions for the deal. These recommendations are based on all calls and meetings associated with the deal, not just the most recent interaction. At any point, sales reps, managers, and operations leaders can review the deal’s current status and focus on the next steps to move it forward. They can also review extracted action items, approve suggested CRM updates, and send a HubSpot AI-generated reply without leaving the deal record.

When a sales methodology is configured, HubSpot’s AI can use your qualification framework as additional context, which can make deal recommendations and CRM updates more relevant to how your team sells.

Before you get started 

Seats required An assigned Sales Seat or Service Seat is required to use smart deal progression features.

HubSpot Credits required HubSpot Credits are required to use custom properties in CRM data capture. HubSpot default properties don't require HubSpot Credits.

Set up deal progression

Set up deal progression from Agent Hub to allow HubSpot’s AI to track deal activity and keep your CRM up to date. The setup flow guides you through three steps: connecting your call and meeting transcripts, configuring smart data capture so HubSpot’s AI can identify and suggest CRM property updates, and adding context such as your sales methodology or customer personas to make recommendations more relevant to your sales process.

To set up deal progression: 

  1. In your HubSpot account, navigate to Agents > Agent Hub.

  2. On the Overview tab, under Win Deals, click Deal progression.
  3. On the Deal progression page, click Set up deal progression.
  4. In the pop-up box, connect your transcripts. Select an option:
    • Connect your existing notetaker: pull recordings in through an integration. Click Configure. 
    • Use HubSpot’s Notetaker: HubSpot’s built-in bot joins your meetings and captures the full transcript. Click Configure. Learn how to set up notetaker.

  1. After you’ve connected your transcripts in Settings, in the pop-up box, click Next.
  2. To add more properties and configure auto-updates, click Configure. Add more properties relevant to your sales process to get more suggested updates or turn on auto-updates. When smart data capture is turned on, HubSpot's AI uses call and meeting transcripts to identify and suggest updates to CRM properties. You'll be notified when updates are ready for review.

Please note: custom property updates are powered by data agent and consume credits.

  1. After you’ve set up smart data capture, click Next.
  2. Add context to improve recommendations. Configure the following options:
    • Upload a sales methodology: how your team qualifies and moves deals. Learn how to set up a sales methodology.
    • Add customer personas: who you sell to.
    • Set up deal plan templates: mutual plans that keep buyers aligned. Learn how to set up deal plans.
  3. When you are done, click Finish.

Set up a sales methodology

Configuring a sales methodology is optional but recommended. When set up, the deal progression card uses your qualification framework, such as MEDDIC, BANT, or a custom methodology, as structured CRM context. This improves the accuracy of deal update suggestions. Once set up you can review the sales methodology card on the Catch-up tab to view recommendations that reflect where each deal stands against your sales process.

You can create a sales methodology using a template or by starting from scratch. HubSpot's AI may also recommend a sales methodology for you based on your CRM data.

Super Admin permissions are required to set up a sales methodology.

Use a framework template

To configure a sales methodology from a template:

  1. In your HubSpot account, navigate to Agents > Agent Hub.
  2. Click the Context tab.
  3. In the left sidebar, click Team & Process.
  4. Click Add Methodology.
  5. In the right panel, select a framework template:
    • BANT: focuses on quickly qualifying whether a prospect is worth pursuing.
    • MEDDIC: a rigorous qualification framework for complex B2B sales.
    • SPICED: customer-centric qualification for B2B sales.
    • SPIN: uses strategic questions to uncover needs in complex sales.
    • MEDDPIC: extended MEDDIC for complex, high value sales with long timelines.
  6. Click Next.
  7. In the Name and Description fields, edit the text as needed.
  8. Configure the steps:
    • Edit the step name.
    • Click the Linked deal property dropdown menu and select a deal property for each step.
    • Reorder the steps by clicking and dragging the step box to your desired location.
    • Click + Add step to add a new step. Enter the step name and select the linked deal property from the dropdown menu.
    • Click the delete icon to delete a step.
  9. Click Next.
  10. To allow data agent to recommend property updates, select the checkbox next to the property name. To select all, select the All linked properties checkbox.
  11. Click Add methodology.

Create a custom sales methodology

To create a custom sales methodology:

  1. In your HubSpot account, navigate to Agents > Agent Hub.

  2. Click the Context tab.
  3. In the left sidebar, click Team & Processes.
  4. Click Add Methodology.
  5. In the right panel, click Start from scratch.
  6. Click Next.
  7. Enter a name and description.
  8. Click + Add step.
  9. Enter the step name and select the Linked deal property from the dropdown menu.
  10. Continue to add steps as needed.
  11. To reorder the steps, click and drag the step box to your desired location.
  12. Once finished, click Next.
  13. Select the checkbox next to the property name to allow data agent to recommend property updates. To select all properties, select the All linked properties checkbox.
  14. Click Add methodology.

After saving, the following updates take effect:

  • Automatic property updates: methodology properties update based on buyer conversations, reducing manual data entry.
  • Catch-up tab insights: the Catch-up tab on each deal record shows real-time progress against your qualification criteria alongside standard next-step recommendations.

Use the deal progression card

Use the deal progression card on the Catch-up tab of a deal record to review CRM update suggestions and recommended next best actions. The deal progression card also displays the most recent activity and the next activity. If set up, the Catch-up tab also displays the deal plan card and the sales methodology card, so you can review all of your deal information in one place.

Review CRM update suggestions

On the deal progression card, you can review suggested CRM updates to your deal record. Deal progression uses context from logged emails, notes, and conversation transcripts. Review the recommendations for accuracy, then accept or reject the value update. Use this to reduce manual effort in updating properties and provide context for next steps.

To review CRM update suggestions: 

  1. In your HubSpot account, click More, then navigate to CRM > Deals. If More doesn't appear in your account, navigate to CRM > Deals directly.

  2. Click the name of a deal.
  3. On the Catch-up tab, navigate to the Deal progression card.
  4. Next to CRM update suggestions, click Review [x] suggestions.

  1. If needed, filter the suggestions by Record owner or Activity date. You can also use the search field to search by record name.
  2. Review the property’s current value and suggested value.
  3. To accept a suggested value, click the success accept suggestion icon to mark the recommended action as done.
  4. To dismiss a suggested value, click the remove remove icon.

  1. To accept all suggestions, in the upper right, click Approve all.

Review next best actions

The deal progression card provides recommended next best actions for your deal. When you act on a suggestion, HubSpot pre-fills key details such as recipient, subject, meeting context so you can complete actions quickly from the card without starting from scratch. Next best actions are also available on the deal index page, so you can review what needs attention across all your deals.

To review recommended next best actions:

  1. In your HubSpot account, click More, then navigate to CRM > Deals. If More doesn't appear in your account, navigate to CRM > Deals directly.

  2. Click the name of a deal.
  3. On the Catch-up tab, navigate to the Deal progression card.
  4. In the Next best actions section, click an action to display a summary of the context behind the recommendation.

  1. For each recommended action, select an available option:
    • Send an email: click Draft an email to open the email compose pop-up box. The email is pre-populated with the recipient, suggested subject, and a context-aware draft from your deal history. The draft can also include meeting requests with relevant information. Manually edit the text if needed.
    • Schedule a meeting: review the context for the meeting and the pre-filled meeting title, time, and attendees. Click Edit to make changes. Click Send meeting invite to schedule the meeting.
    • Prepare for a Meeting: click Prepare for a meeting to be directed to the meeting prep page. This option appears before upcoming meetings.
    • Create a task: click Create a task to automatically create a task assigned to you that contains the details of the recommended action.
    • Copy to clipboard: click the copy icon to copy the action name and details to your clipboard for use in other areas of HubSpot.
    • Re-engage with contact: click Re-engage with contact, then select an option to draft an email, make a call, or schedule a meeting. This option appears if a deal is stalled and has had no activity for 14 or more days, and displays the prompt: “Reach out before this deal is at risk.”

Please note: the Catch-Up tab also surfaces deal health information such as deal scores. Learn how to use and review deal scores.

Take action on an email thread

Review email next steps on a deal

  1. In your HubSpot account, click More, then navigate to CRM > Deals. If More doesn't appear in your account, navigate to CRM > Deals directly.
  2. Click the name of a deal.
  3. At the top of the middle column, click the Activities tab.
  4. In the activity timeline, locate an email thread, then click Review next steps to view action items based on the thread content of the email and approve or reject CRM property update suggestions.
  5. To approve or reject CRM property update suggestions:
    • In the panel, hover over a CRM property and make edits to the suggestion, if desired. Click the success accept suggestion icon to approve the value update.
    • In the panel, hover over a CRM property, then click the remove remove icon to reject the value update.

Review email next steps in Gmail or Outlook

Address action items from your Gmail or Outlook inbox with the HubSpot Sales Chrome extension or Office 365 add-in. Learn how to view deal information in Gmail and Outlook.

  1. Install the HubSpot Sales extension:
  2. Navigate to your inbox.
  3. View deals from an email thread in Gmail or Outlook.
  4. On the Details tab, review suggested action items, then approve or reject CRM property update suggestions:
    • Approve: hover over a CRM property and make edits to the suggestion, if desired. Click the success accept suggestion icon to approve the value update.
    • Reject: hover over a CRM property, then click the remove remove icon to reject the value update.

Draft a reply to a deal email

Use Breeze Assistant to draft a reply to an email using context from buyer goals, risks, and previous threads in the email chain. This can reduce time spent writing a recap email and reduce the need to search through notes to find certain action items.

To start an email reply with Breeze Assistant:

  1. In your HubSpot account, click More, then navigate to CRM > Deals. If More doesn't appear in your account, navigate to CRM > Deals directly.

  2. Click the name of a deal.
  3. At the top of the middle column, click the Activities tab.
  4. In the activity timeline, locate an email associated with the deal, then click Write a reply for me. Breeze Assistant automatically drafts a reply.
  5. Review and insert the generated draft, then make edits to the recipient, subject line, or body, if desired.
  6. When you're finished, click Send.
