Remove unused assets from your account with account cleanup

Available with any of the following subscriptions, except where noted:

Identify opportunities to tidy up and declutter your HubSpot account with account cleanup. Use automated tools to clean up unused assets and keep your account organized. You can clean up unused assets such as marketing emails, posts, pages, and segments.

When cleanup automation is turned on, eligible assets will automatically be archived or deleted, depending on the tool. Automation will run once a month on the first of the month, automatically tidying up anything that became eligible within the last month.

Super Admin permissions are required to use account cleanup.

Understand criteria for asset cleanup

Please note: if you're a Super Admin, you can opt your account into the Cleanup Automation for Tickets beta.

Before you set up automatic cleanup of unused assets, understand the criteria for each asset and the action that will be taken once you turn the settings on. In order for an asset to be cleaned up, all of the criteria must be met.

Asset  Criteria  Action taken
Marketing emails
  • Last edited before time you select in the Archive unused marketing emails not mofied in the last dropdown menu.
  • Are in Draft status, don't have a scheduled publish date, and aren't referenced in workflows

Marketing emails meeting these criteria will be automatically archived (never deleted). Learn how to restore archived emails.

Blog posts, landing pages, and websites
  • Last edited before time you select in the Archive draft [asset] older than dropdown menu.
  • Are in Draft status and don't have a scheduled publish date.

Posts and pages meeting these criteria will be automatically archived (never deleted). Learn how to restore archived posts and pages.
Reports 
  • Last edited before time you select in the Delete unused reports older than dropdown menu.
  • Aren't used in dashboards or scheduled emails.
Reports will be automatically deleted. Learn how to restore deleted reports for up to 14 days after deletion. 
Segments Segments will be automatically deleted. Learn how to restore deleted segments for up to 90 days after deletion.
Tickets (BETA)
  • Last modified before the time you select in the Not modified in the last dropdown.

Tickets meeting this criteria will be deleted. Learn how to restore deleted records for up to 90 days after deletion. Tickets that meet the criteria in the future will be removed on the first of every month. 

Workflows
  • Last edited before time you select in the Delete workflows older than dropdown menu.
  • The workflow is turned off.
Workflows will be automatically deleted. Learn how to restore deleted workflows for up to 90 days after deletion.

Turn on or edit automatic cleanup of unused assets 

In the Monthly marketing asset cleanup section, you can view a preview of how many assets are eligible for cleanup and then set up automatic cleanup of those unused assets. You can also customize the cleanup criteria to fit your needs. Once you turn on the settings, it will remain on until you edit it.

  1. In your HubSpot account, click the settings icon in the top navigation bar.
  2. In the left sidebar menu, click Account Cleanup.
  3. If enrolled in the Cleanup Automation: Deals or Cleanup Automation for Tickets beta, click the CRM tab to locate deals and tickets.
  4. Click Set up or Edit for the asset you want to clean up.
  5. Review the current policy in the Cleanup policy section and the assets that meet the criteria in the Monthly cleanup section.
  6. Click to toggle the policy on/off.
  7. To adjust the length of time that's passed since the asset was edited:
    • Click Customize criteria.
    • Click the Archive/Delete [assets] not modified in the last dropdown menu. Change the criteria to consider assets that were last edited three months ago to three years ago.
    • To add additional filters, click + Add filter. In the pop-up box, click an option, then enter the details of the filter. Select the filter option. For example, you could archive all drafted marketing emails authored by a specific user.
    • Click + Add filter to add a filter to the existing AND group. When you set a filter with AND, assets must meet all the criteria in the filter group to be included.
    • Click + Add filter group to add a filter to a new OR group. When you select OR, assets must meet the criteria in at least one filter group to be included.
  8. Click Save

Please note: adding filters to reports isn't available.

Review cleaned up assets 

After you've set up automatic cleanup of unused assets, you can review which assets were cleaned up.

  1. In your HubSpot account, click the settings icon in the top navigation bar.
  2. In the left sidebar menu, click Account Cleanup.
  3. If enrolled in the Cleanup Automation: Deals or Cleanup Automation for Tickets beta, click the CRM tab to locate deals and tickets.
  4. Under each asset, you can view a total count of how many assets have been cleaned up. Click View to view the full list.

  5.  A new window will open on the Manage tab for that asset showing assets that were recently archived or deleted (depending on the criteria) so you can organize or restore the asset.

Revert cleanup automation 

After automatic cleanup runs, you can revert the most recent cleanup to restore archived or deleted assets. This is useful if assets were removed unintentionally or if you need to review recent cleanup changes. Only the most recent cleanup can be reverted. If an asset has been permanently deleted (e.g., after 90 days), it can’t be restored.

  1. In your HubSpot account, click the settings icon in the top navigation bar.
  2. In the left sidebar menu, click Account Cleanup.
  3. In the top right, click Undo recent cleanup.
  4. To revert the clean up and restore all assets, click Revert (#)
  5. To revert the cleanup for individual assets, click the asset type to expand each asset. Select the checkboxes for the assets you want to restore. Click Revert selected (#).
  6. In the pop-up box, select the Disable automation after revert checkbox to prevent the cleanup from running again.
  7. Click Revert cleanup to confirm.
