Set up and use the HubSpot connector for Gemini

With the HubSpot connector for Gemini, you can bring your HubSpot context to Gemini to surface insights and generate content to be actioned in HubSpot.

For example, marketers can get a list of contacts with a Lead lifecycle stage in HubSpot and get recommended next steps from Gemini. Or Sales reps can get a list of companies that meet certain criteria and have Gemini draft a follow-up email. 

With the HubSpot connector for Gemini, you can leverage your HubSpot context in the following ways: 

Before you get started

  • The HubSpot connector for Gemini is currently in public beta and available to HubSpot customers across all tiers who have a paid Google Workspace Business Standard, Business Plus, or Enterprise plan and Gemini Alpha turned on.
  • The connector is currently only available in English.
  • The connector has read-only access for core CRM objects (contacts, companies, and deals), their associations, and default properties. 
  • The connector respects the user permissions defined in HubSpot. Users can only view records in Gemini that they have access to in HubSpot. 
  • All interactions remain subject to HubSpot’s API usage limits.
  • To connect, use your HubSpot email that you use for Gmail in Workspace.

Set up the HubSpot connector for Gemini

The HubSpot connector for Gemini can be installed directly within Gemini at gemini.google.com or by going to the Google Workspace Marketplace. 

To install the connector from gemini.google.com

  1. Navigate to the Gemini app at gemini.google.com
  2. In the bottom left, click Settings & Help. Then click Apps
  3. Toggle the HubSpot switch on.

  1. Authenticate using your HubSpot login credentials.

To install the connector from the Google Marketplace:

  1. Your IT Admin will need to turn on your workspace in Gemini Alpha.
  2. Navigate to the HubSpot connector for Gemini in the Google Marketplace.
  3. Click Connect.
  4. In the dialog box, follow the instructions to link your Google and HubSpot accounts.

Use the HubSpot connector for Gemini in the Gemini app 

After setting up the connector, you can use natural language to ask the HubSpot connector for Gemini to give you insights into your contacts, companies, and deals. 

  1. In your Gemini chat window, type @HubSpot before your Gemini prompt and press enter

  1.  Gemini will generate a response using context from your connected HubSpot account.

Below are some examples of ways you can use Gemini and HubSpot together:

  • Marketers can ask: "Show me a list of contacts in the Lead lifecycle stage, and draft follow up notes that I can send in HubSpot".
  • Sales reps can ask: "Show me a list of deals, and draft follow up emails that I can send in HubSpot".
  • Support teams can ask: “Show me a list of companies, and recommend a follow up note that I can send in HubSpot".

The connector is currently read-only. You can use it to fetch information about your HubSpot contacts, companies, and deals directly in Google Gemini. You can also pull lists of these objects based on their default properties.

  • To fetch specific information:
    • Type @HubSpot, followed by your specific data pull request.
    • For example: “@HubSpot show me contact Charley Harber.”
    • Gemini will respond with information on that contact from HubSpot. 
  • To pull a segment:
    • Type @HubSpot, followed by your request for a segment.
    • For example: “@HubSpot show me a segment of companies located in the state of Arizona.” 

Use the HubSpot connector for Gemini in Google Workspace 

Once your admin has allowed access to the HubSpot connector for Gemini, you can also use the connector directly within Google Workspace. From the Gemini side panel of apps such as Gmail, Docs, Sheets, and Chat, enter a prompt to ask Gemini to retrieve a record or use it to fetch information about your HubSpot contacts, companies, and deals directly in Google Gemini. You can also generate segments for these objects based on their default properties.

To enter a prompt in Google Workspace:

  1. In the top right of your browser, click the Gemini icon to open the Gemini side panel. 
  2. In the prompt box, type @HubSpot and select HubSpot under Tools

Disconnect the HubSpot connector for Gemini

To disconnect the HubSpot connector for Gemini: 

  1. Navigate to the Gemini app at gemini.google.com
  2. In the bottom left, click Settings & Help. Then click Apps
  3. Toggle the HubSpot switch off.

Can Gemini update my HubSpot data on my behalf?

The HubSpot connector for Gemini is currently limited to read-only access. It can fetch core CRM objects limited to contacts, companies, deals, and their associations within Gemini, but it doesn't have the ability to edit the data in HubSpot. Associations are limited to contacts, companies, and deals. 

Does the HubSpot connector for Gemini require most of your database tagged by persona?

While clean and well-organized data improves the quality of insights, the HubSpot connector for Gemini does not require perfectly tagged data. It works with your contacts, companies, and deals for useful analysis even if your CRM data isn’t perfectly structured.

I'm a HubSpot partner who manages multiple HubSpot accounts. Can I connect a specific account to a Gemini project? 

Currently, you can only connect one HubSpot account at a time to a single Google Workspace account. To work with a different HubSpot account, you’ll need to disconnect the current one and reconnect the desired account from Google Workspace. While you can’t manage multiple connections simultaneously, you can manually switch between accounts.

How long does Gemini retain or delete data?

After your data is shared with Gemini, Google’s Terms of Service apply. To better understand their data practices—including whether and how long data is retained—it's recommended to visit Gemini Apps Privacy Hub.

Will the HubSpot connector for Gemini respect my data localization preferences? 

Once your data is in the Google Workspace platform, the terms you have with Google will govern where and how your data is processed in that tool. We recommend reviewing your Google Workspace license terms depending on your Google Workspace plan to best understand where your data will be stored and processed. 

Will my customer data be used to train Gemini?

Google does not use the data you share through HubSpot to train its models. Refer to the Gemini Apps Privacy Hub for additional information.

Will the HubSpot connector for Gemini have access to Sensitive Data?

No. The HubSpot connector for Gemini does not provide access to custom Sensitive Data Properties or sensitive content from other Sensitive Data Covered Services, including Personal Health Information and other forms of Highly Sensitive Data. It has read access to standard records such as contacts, companies, deals, and their associations. Any properties marked as Sensitive Data are not accessible by the connector. 

How does the HubSpot connector for Gemini handle user permissions?

The HubSpot connector for Gemini automatically respects the user permissions defined in HubSpot. This means users will only see in Gemini the CRM data they’re allowed to access in HubSpot. For example, individuals will only see data for contacts or deals they have permission to view.

Some CRM objects in HubSpot have customizable permissions. When access is limited to specific contacts, whether for individuals or teams, Gemini will only be able to view those same contacts. You can find more information here.

Does the HubSpot connector for Gemini comply with privacy regulations, such as GDPR, particularly in the EU, and HIPAA in the US?

Once you enable it, the HubSpot connector for Gemini has access to standard CRM records (contacts, companies, deals, and their associations). It does not have access to custom Sensitive Data Properties or any Sensitive Data Covered Services.

Your use of HubSpot Services is governed by our Data Processing Agreement and Business Associate Agreement. Ultimately, you're best able to assess your compliance needs and how HubSpot fits into them.
