Set up automations in the updated board view

Available with any of the following subscriptions, except where noted:

In the updated board view, you can set up pipeline stage automation to trigger actions when records move between stages or statuses. This includes creating tasks, sending notifications, or updating records.

Please note: this article applies to Free and Starter accounts created after March 30, 2026. If you have a Professional or Enterprise subscription, refer to the set up pipeline automations for objects article.

You can verify if this article applies to your account by comparing your board to the image below. In your HubSpot account, navigate to CRM > Deals.

Add templated automation based on pipeline stages

Permissions required Super Admin or Workflow edit permissions are required to configure pipeline automations.

You can create automations based on deal, ticket, and project pipeline stages. For example, you can create a task or send an internal notification when a deal's stage changes.

  1. Navigate to your records:
  2. In the upper right, click the view type dropdown menu and select Board view.
  3. Hover on the stage you want to create an automation for, click the Automate dropdown menu and select an option:
    • Create and assign a task: creates a task associated with the record when it enters the pipeline stage. Configure the details of the action (e.g., name, assignee, due date) in the panel.
    • Send internal email notification: sends an email notification to users in your account who have their notifications turned on. The automation triggers when a record enters the pipeline stage. Configure the details of the action in the panel.
    • Edit record: edits a property value of the record or associated record when it enters the pipeline stage. Configure the details of the action (e.g., the record that will be changed, the property that will be updated) in the panel.
  4. Click Create workflow. The workflowsIcon active automation icon will appear next to the stage name.

Create automations for pipeline stages

  1. Navigate to your records:
    1. Deals: In your HubSpot account, navigate to CRM > Deals.
    2. Projects: In your HubSpot account, navigate to CRM > Projects.
    3. Tickets: In your HubSpot account, navigate to CRM > Tickets.
  2. In the upper right, click the view type dropdown menu and select Board view.
  3. Hover on a stage and click the verticalMenuIcon three vertical dots icon, then select Manage stage automation.
  4. Scroll to the Create workflows from scratch section. If collapsed, click Create workflows from scratch to expand the section.
  5. In the Trigger actions when a [object name] moves to a new stage section, click Create workflow. If you've already added actions, click the + add action icon instead.
  6. In the panel, set up an action (e.g., Create note).
  7. When you're finished, click Save.
  8. Toggle the Workflow is [status] switch to turn the workflow on or off.

Configure ticket status from associated emails

Subscription required A Service Hub Starter, Professional or Enterprise subscription is required to configure automation from associated emails or automation to send an email or an internal notification.

You can automatically update the status of tickets when associated emails are sent or received. This means emails that are sent from the ticket and replies from your customers to the ticket. Ticket status is the HubSpot default property that tracks tickets within your pipeline (e.g., Waiting on contact status).

To turn on or edit ticket status automation:

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, in the Data Management section, click Objects.
  3. On the Objects page, click the Select an object dropdown menu and select Tickets.
  4. Click the Pipelines tab.
  5. Click the Select a pipeline dropdown menu, then select the ticket pipeline you want to automate.
  6. Click the Automate tab. If collapsed, click rightIcon to expand the Templated automations section.
  7. To turn on ticket status automation, in the Update ticket status section, select a checkbox to turn on a trigger:
    • An email is sent to a customer: the ticket status will change when a user sends an email to a contact from the ticket record. Emails sent from the contact record will not trigger a ticket status change.
    • A customer replies to an email: the ticket status will change when a contact replies to the same thread the ticket was created on. If the ticket was closed and then reopened, any new threads on the ticket will also update the ticket status. 
  8. To edit which status the ticket will be set to based on the trigger:
    • Hover on a row, then click Edit action.
    • In the panel, click the Select status dropdown menu, then select a status.
    • Click Save.

Please note: the following behavior is expected regardless of the automation settings:

  • A ticket's status will not automatically change for forwarded emails, replies to forwarded emails, other emails sent by the contact, or replies sent from a user's connected personal email.
  • If a contact replies to an existing thread on a closed ticket, the ticket's status will be automatically updated to the first open status in your pipeline.

To turn off or review the ticket status automation:

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, in the Data Management section, click Objects.
  3. On the Objects page, click the Select an object dropdown menu and select Tickets.
  4. Click the Pipelines tab.
  5. Click the Select a pipeline dropdown menu, then select the ticket pipeline you want to automate.
  6. Click the Automate tab. If collapsed, click rightIcon to expand the Templated automations section.
  7. Clear the Update ticket status checkboxes.
