Customize confirmation emails for meeting scheduling pages

Available with any of the following subscriptions, except where noted:

Customize the confirmation email that gets sent to contacts when they book meetings through your scheduling page. Set a unique subject line and edit the contents of the confirmation email to help the contact understand what to expect from the meeting they booked. If you're a Super Admin, you can opt into the Customize Confirmation Email in Meeting Scheduling Pages beta.

Seats required An assigned Sales Hub or Service Hub seat is required to customize confirmation emails for scheduling pages.

After opting into the beta, you can customize the confirmation email when editing existing scheduling pages or when creating new scheduling pages.

  1. In your HubSpot account, navigate to Sales > Meetings Scheduler.
  2. Choose the meeting whose confirmation email you're customizing:
    • If you're editing an existing scheduling page, hover over the scheduling page and click Edit. Then, at the top of the page, click Automation.
    • If you're creating a new scheduling page, in the upper right, click Create scheduling page. Then, follow the instructions for creating a scheduling page to configure your meeting. When you get to the Automation steps, proceed to step three below.
  3. Under the Automation settings, turn the Confirmation email switch on.
  4. Click Customize your confirmation email.
  5. Customize the following elements of the confirmation email, using the Personalize dropdown menu to add personalization tokens to the text fields as needed:
    • Subject line: the text that will appear in the email subject.
    • Confirmation title: the header text in the body of the email.
    • Image: the image that will appear below the header and above the rest of the body text.
    • Body: the body text of the confirmation email.
  6. To review your edits, click the Preview confirmation email button.
  7. After making your edits:
    • If you're editing an existing scheduling page, click Save in the lower left.
    • If you're creating a new scheduling page, click Create scheduling page in the lower right.
