Organize marketing emails with custom email properties

You can create custom email properties to tag and organize your emails. For example, if you created the recommended property for email language, you could then filter all your emails by the language used. Learn more about creating and editing properties.

Understand limitations & considerations

  • Email properties only support the dropdown select and multiple checkboxes field types
  • Once internal names for properties or field options have been created, they cannot be changed. 

Create custom email properties

  1. In your HubSpot account, navigate to Marketing > Email.
  2. Click the name of a draft email, or click Create email to create a new email. 
  3. In the email editor, click the setup icon in the left sidebar. 
  4. In the left sidebar editor, click Create new property in the Categorize section. 
  5. In the right panel, select a recommended property or select Create your own to start from scratch. Then click Next.
  6. In the Property label field, enter a name for your property. This is the name you'll use when creating filters for email properties. 
  7. Click the Field type dropdown menu and select Dropdown select or Multiple checkboxes. Learn more about property field types.
  8. In the Option style section, select an appearance type for the field's options. 
  9. In the Dropdown/checkbox options section, enter an option. Click Add option to add additional options. 
  10. To delete an option, click the delete delete icon next to its name. 
  11. To edit the internal name for the property or field options, click the code code icon next to the property or object label. In the Internal name field, enter an internal name.

  1. When you've finished adding property options, click Create property
  2. Select whether users are required to edit the property when creating an email, then click Finish

Customize custom properties for email creation

You can customize which custom properties appear when a user in your account creates a new email. Custom email properties created from the email editor will appear automatically, while those created from settings will need to be added manually. 

  1. In your HubSpot account, navigate to Marketing > Email.
  2. Click the name of a draft email, or click Create email to create a new email. 
  3. In the email editor, click the setup icon in the left sidebar. 
  4. In the Categorize section, click Edit form
  1. In the form editor, click to expand the Marketing email properties section of the Add properties section. 
  2. Select the checkbox next to each property you want to appear on the form. 
  3. Clear the checkbox next to any property you want to remove from the form.
  4. To rearrange a property, click the property and drag it into position. 
  5. To make a property required when creating an email, hover over the property and click the required icon

  1. To preview how the form will appear when creating a new marketing email, click Preview in the top right. 
  2. In the top right, click Save to save and continue editing, or Save and close to go to settings. 

Bulk edit custom email properties

Once you've created custom email properties, you can fill in their values for existing emails. 

  1. In your HubSpot account, navigate to Marketing > Email.
  2. To apply filters to your emails, click Advanced filters, then select your filter criteria in the right panel. 
  3. To select individual emails, click the checkbox next to each email.
  4. To select all emails on the current page, click the checkbox at the top of the left column of the table. To also select all other emails, click Select all [#] emails in the blue banner. 
  5. Once you've selected the emails you want to edit, click Edit properties at the top of the table. 

  1. In the dialog box, click the Property to update dropdown menu and select a custom email property, then click Update

Filter by custom email properties

Once you've created custom email properties, you can filter for them on the marketing email index page. 

  1. In your HubSpot account, navigate to Marketing > Email.
  2. At the top of the table, click Advanced filters
  3. In the right panel, click Add filter
  4. Select a custom property, then set the criteria you'll use for filtering. Learn more about working with filter criteria
