Sync contacts, forms, lists, emails, pipelines, and workflows to a standard sandbox account

Learn how to sync your contacts, forms, lists, marketing emails, object definitions, pipelines, and workflows to your standard sandbox account for testing. For example, you can sync a workflow and associated list to test that the workflow updates the list correctly.

In addition to syncing data from your CRM, you can also sync the following: 

  • Contacts and associated records: your 5,000 most recently updated contacts and 100 associated companies, 100 associated deals, and 100 associated tickets per contact. This sync can only be done once. You can continue to manually add contacts to your sandbox using the standard import and export tools

Please note: contact, company, deal, and ticket IDs will have different IDs between sandbox and production accounts.

  • Forms: all forms will sync except for blog comment forms.
  • Lists: all static and active list names will sync, but not the contacts in them. Only active lists with property filters will sync.
  • Marketing emails: only automated marketing emails will sync.
  • Object definitions: all object definitions will sync, but not object records.
  • Pipelines: all pipelines will sync, but not the records in those pipelines.
  • Themes, templates, and modules: will sync files, but not the website content, pages, emails, or quotes built using them.
  • Workflows: all workflows will sync, but not all workflow actions can function in a standard sandbox account. If there is an enrollment trigger or action that is not compatible, you will see an alert. To resolve this, you’ll need to edit the workflow.

Please note: you can only enroll 100,000 records per day for the entire sandbox account. Any additional workflow enrollments past the maximum will be dropped. You will be informed when the cap has been reached, and the time you will be able to sync again.

Sync to a sandbox account

To sync your data to your standard sandbox account: 

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, select Sandboxes.
    • If you are creating a new sandbox, in the upper right, click Build standard sandbox.
    • If you are syncing content to an existing sandbox, select Setup sync to sandbox.

  • In the Select assets page, you can choose to copy all supported assets for an asset type or select specific assets.
    • To sync all assets, select the Sync all supported assets
    • To sync specific assets, click the Select specific assets.
  • Click Next.
  • If you selected Select specific assets
    • Click the checkbox next to the assets you would like to sync. Then, click Next.
    • Click the checkbox next to the objects you would like to sync. Then, click Next.

  • Review your assets selection. When you're happy with your selection, click Sync standard sandbox, in the bottom right.

Please note:

  • If a certain tool or feature does not sync to a standard sandbox account, any properties that are dependent on that feature will also not sync. For example, since subscription types do not copy to standard sandbox accounts, all contact properties based on subscription types (e.g., Opted out of email) are also not copied. In this scenario, you'd need to manually recreate subscription types in the sandbox account to match your main account. Additionally, scoring ruleset syncing is not supported in your sandbox account.
  • Integrations in your main account will not be connected automatically to the standard sandbox account. For any existing integrations you want to connect to a sandbox account, HubSpot recommends connecting to the sandbox version of that integration. This will help prevent disruptions to your CRM data.

Manage sandboxes

If you are a super admin, you can view sync activity, view users, or delete a sandbox:

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, select Sandboxes.
    • Hover over a sandbox, then click More. Select one of the following:
      • View sync activity: In the right panel, you can view the sync status, time, and which production account the sandbox is syncing from. In the top right, click Set up sync to start a sync. The sync will appear in the table.

      • View users: In the right panel, you can view which users have access to the sandbox, their level of access, and their last active date.

      • Delete sandbox: In the dialog box, type delete. Then, click Delete.
