Understand HubSpot users and profiles

HubSpot uses a single user identity to manage access across the platform. When you join or create a HubSpot account, a user record is created for you and connected to your login email.

This user record determines how you access HubSpot accounts, training in HubSpot Academy, and participation in the HubSpot Community. While related, these tools function independently and have separate profiles.

HubSpot user

A HubSpot user is a single identity that exists across the platform. Each user record is represented by two unique identifiers: 

  • User ID: a string of numbers assigned to every user added to a HubSpot account. 
  • Email address: the email used to log into HubSpot.

A single user can exist across multiple HubSpot accounts if the same email address is used when the user is added or a new account is created.

If a user is removed from an account, the user continues to exist within HubSpot systems until the user permanently deletes their own user record.

HubSpot profile

Each HubSpot user is associated with a HubSpot profile. Changes to a profile affect that user's profile in all accounts

HubSpot Academy profile

When a user is added to a HubSpot account or creates a new account, they automatically gain access to HubSpot Academy. HubSpot Academy provides free online training and certifications for marketing, sales, and customer service professionals. If someone signs up for HubSpot Academy directly, a HubSpot account is automatically created for them. The Academy profile and any certificates earned are associated with the user’s HubSpot user record. 

HubSpot Community profile

When a user is added to a HubSpot account or creates a new account, they also gain access to the HubSpot Community. The Community allows users, partners, and HubSpot employees to ask questions, share knowledge, and discuss best practices. If someone signs up for the HubSpot Community directly, a HubSpot account is automatically created. However, the Community profile functions separately from the HubSpot user profile and Academy profile. Within the Community, the email address used to sign up acts as the unique identifier.
