Set up deal pipeline automation

From deal pipeline settings, you can customize close date value automation or trigger actions when a deal moves to a specific stage. These automations are pipeline specific so that you can tailor actions per your business needs. 

The automations you can customize depend on your HubSpot subscription:

Customize close date automation

By default, the following behavior is expected:

  • When you move a deal to a closed stage, the deal's Close date value will be updated to today's date.
  • When you move a deal from a closed stage to an open stage, the previously set Close date value will remain.
  • When you change a deal stage probability in pipeline settings from any percentage (i.e. open) to Lost or Won or vice versa, the previously set Close date value will remain.

Please note: merging a record will not trigger close date automations.

You can adjust these automation settings per pipeline to stop setting the close date, or to clear the close date when a deal moves to an open stage.

To adjust the close date automation settings:

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Objects > Deals.
  3. Click the Pipelines tab.
  4. Click the Select a pipeline dropdown menu, then select the deal pipeline you want to adjust.
  5. Click the Automate tab.

Please note: If collapsed, click Templated Automation to expand the section.

  1. To adjust the automation for when a deal is moved to a closed stage, in the Set the close date to today when moving deal to closed stage row:
    • To turn off the automation, toggle the switch off. With the setting turned off, a deal's close date won't be updated when you move a deal to a closed stage.
    • To turn the automation back on, toggle the switch on. With the setting turned on, a deal's close date will be set to today's date when you move a deal to a closed stage.
  2. To adjust the automation for when a deal is moved from a closed stage to an open stage, in the Clear the close date when moving deal from closed to open stage row:
    • To turn on the automation, toggle the switch on. With the setting turned on, a deal's close date will be cleared when you move a deal from closed to an open stage.
    • To turn the automation back off, toggle the switch off. With the setting turned off, a deal's close date will remain as the previously set value when you move a deal from closed to an open stage.

Automate actions based on deal stages

You can create a task or send an internal notification when a deal's stage changes (Sales Hub Starter, Professional, and Enterprise). If you want to create advanced automations, you can do so with deal-based workflows (Professional and Enterprise only).

To automate actions on deal stages, you must have Super admin or Account access permissions.

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Objects > Deals
  3. Click the Pipelines tab.
  4. In the Select a pipeline section, click the dropdown menu, then select the pipeline to automate.
  5. Click the Automate tab. 

Please note: If collapsed, click Create workflows from scratch to expand the section.

  1. In the Trigger actions when a deal moves to a new stage section, click the + plus icon to add an action to a deal stage.

  1. In the right panel, set up your action:
    • To create a task when a deal enters the stage, select Create task. Enter the task details, then click Save.

  1. To edit an existing action, click the action bubble. Make changes in the right panel, then click Save.
  2. To leave a comment for other users about an action, hover over the action, then click the comments comment icon. Type your message and click Comment.

  1. To delete an action, hover over the action, then click the delete delete icon. Select Delete this action only to delete just the selected action, or select Delete this action and all after following actions to delete the selected action and any actions below it.
  2. To navigate to the complete workflow editor (Sales Hub Professional or Enterprise only), click Open in Workflows below the stage's actions.
