Mention a user on a record

Use activity mentions to notify team members about important updates on records. When you mention a user in an activity or comment, they receive a notification so they can review, edit, or follow up as needed. This helps teams collaborate directly from records. Eligible objects include: contacts, companies, deals, tickets, projects, tasks, and custom objects. For other objects (e.g., services), learn how to mention within a comment on an activity.

  1. Navigate to your records (e.g., In your HubSpot account, click More, then navigate to CRM > Contacts. If More doesn't appear in your account, navigate to CRM > Contacts directly.).
  2. Click the name of a record.
  3. On the left sidebar, click an activity icon (e.g., description create a note icon) to create a new activity or note.
  4. In the activity or note editor, type @ and your team member's email or name (e.g., @cameron). In the dropdown menu, select a user to tag them in your note. 
  5. Click Create note or Save.

Please note: the following apply when mentioning a user:
  • The user is given shared access to edit or comment on the note.
  • Both the user's name and the @ before the name must be half-width characters. If a user's name includes full-width characters, such as Japanese, you'll need to mention the user's email instead. If the @ still doesn't populate a user's name, even if the name has half-width characters, you may need to update your @ to half-width.

Understand mention notifications

The mentioned user will receive a notification based on their notification preferences. Notifications are only sent the first time you mention someone on an activity. This includes when the activity is created, or when you mention the user for the first time when editing an activity. Users won't receive a notification in the following scenarios:

  • If a user mentions themselves on an activity.
  • If a user is mentioned an additional time on an existing activity.
  • If the activity was created via API. After an activity is created via API, you can comment to mention users from within its associated records.
Please note: if you were mentioned in a comment on an activity with multiple associations, expect the following:
  • Receiving the mention notification depends on whether you've turned on notifications for the highest-priority object in the order. The priority order is as follows: companies, contacts, deals, tickets, projects, tasks, and custom objects. For example, a contact mention notification is sent when a mention occurs on an activity associated with a contact and a deal.
  • Clicking the CTA in the mention notification may not bring you to the record where the comment originated. For example, if a user mentions you in a comment on a note within a ticket, you'll be navigated to the note's associated contact instead.
