Create and share Academy playlists

Available with any of the following subscriptions, except where noted:

Create and share playlists of HubSpot Academy courses with your team. You can add courses and certifications to playlists based on your needs. For example, you can create a playlist to onboard all new hires in a marketing team and train them in digital marketing and using HubSpot's Marketing software. 

Please note: when sharing a playlist with partner-only courses, if the recipient does not have access to a piece of content, the item will be blocked out. There will be a description explaining that the user does not have access to that playlist item.

Create a playlist

To create a new Academy playlist: 

  1. In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  2. At the top, click My playlists.
  3.  In the top right, click Create playlists.

  1. In the dialog box, enter your playlist details: 
    • Playlist name: enter a name for your playlist. 
    • Playlist description: enter a description for your playlist. This should specify who the playlist is for and the purpose of the playlist. 
  2. Click Create

Add courses to your playlists

You can add a course to your Academy playlist directly from the playlist editor or while browsing the Academy catalog.

Add a course from the playlist editor

To add a course to your playlist from the playlist editor: 

  1. In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  2. At the top of the Academy dashboard, click My playlists.
  3. At the top, click the Created by me tab.
  4. Click the playlist that you'd like to edit.
  5. In the Playlist items section, in the search bar, enter the name of the course you'd like to add. 
  6. To add a course, click the add plus icon on the course thumbnail. 
  7. After adding your courses, in the top right, click Save

To add a course to your Academy playlist from the catalog:
  1. At the top, click HubSpot Academy
  2. To search for a specific course, in the search bar, enter the name of the course that you'd like to add.
  3. To browse the different courses available for each category or software type, click Show all responses on HubSpot Academy. Then, select a course category or software type
  4. After you've located a course to add to your playlist:
    • Click the verticalMenu icon next to the course. 
    • Click Add to playlist
    • To add the course to an existing playlist, click the playlist name. To create a new playlist and add the course to this playlist, click Add to new playlist

Manage and edit your playlists

To manage and edit an existing playlist:
  1. In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  2. At the top, click My playlists.
  3. On the My playlists page, choose a playlist and click the verticalMenu icon next to the playlist: 
    • To start using a playlist, click Start playlist
    • To edit a playlist's name and description, click Edit details
    • To change the thumbnail of a playlist, click Change Thumbnail. By default, a new playlist won't display any thumbnail. 
      • To use a default course thumbnail image, select a course
      • To use a custom thumbnail, click Upload image.
        • In the dialog box, click Browse files to browse your computer's hard drive for files to upload. Then, select your image file and click Open.
        • You can also drag and drop an image file to the dialog box.
        • After adding an image file, click Save. The image file must have a minimum image dimension of 1280x720. 
    • To share a playlist, click Share playlist.
      • A link to the playlist will be automatically copied to your clipboard. Then, select how you want to share the playlist. If you choose to share on a social media channel, a social media window will open in your browser.
    • To assign a playlist click Assign playlist
    • To unassign a playlist, click Unassign playlist.
    • To duplicate the playlist, click Duplicate playlist. Then, in the dialog box enter your playslist details:
      • Playlist name: enter a name for your playlist. 
      • Playlist description: enter a description for your playlist. This should specify who the playlist is for and the purpose of the playlist. 
    • To save the playlist to your playlists, click Save to My Playlists.
    • To archive a playlist, click Archive playlist. The archived playlist will no longer display in the dashboard, but you'll be able to filter to review your archived playlists.

    • To start a playlist, click Start playlist
    • To assign a playlist to another user, click Assign. Learn more about assigning and monitoring playlists.
    • To further review and edit the playlist, click the playlist.
      • To reorder your playlist, in the Playlist items section, click and drag the courses to reorder. 
      • To remove an item from the playlist, click the success check icon on the playlist item

Assign, unassign, and monitor your playlists

After creating a playlist, you can assign the playlist to a user in your account and monitor the user's progress through the playlist's courses.

Assign a playlist 

To assign a playlist: 

  1. In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  2. At the top, click My playlists.
  3. Click the name of the playlist that you'd like to assign. 
  4. In the top right, click Assign

  1. In the right panel, enter your playlist assignment details: 
    • Account: the HubSpot account of the user that you'd like to assign the playlist to. You must be logged in with the same email address in both accounts in order to assign a playlist to a user in another account. 
    • Assignee: the user account of the person that you'd like to assign the playlist to. 
    • Due date: the date that the playlist should be completed. This date can be updated after assignment. You'll receive a reminder email to check on the user's progress on this date. 
  1. At the bottom, click Assign. Assigned users will receive a notification email to complete this playlist.

Unassign a playlist 

To unassign a playlist:

  1. In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  2. At the top, click My playlists.
  3. On the My playlists page, choose a playlist and click the verticalMenu icon next to the playlist:
    • Enter a user name in the search bar or click the name of the user you want to unassign the playlist to.
    • in the dialog box, click Unnasign user

Monitor assigned playlists 

To monitor the progress of your assigned playlists:

  • In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  • At the top, click My playlists.
  • Click the name of the playlist that you'd like to monitor. 
  • To check the progress of your assigned users, scroll down to the All assigned teams section. The progress bar indicates the percentage of all users in the account who have completed the playlist.
  • To check the progress of an individual user, click the account name. Each assigned user will appear with a progress bar indicating the percentage of the playlist that has been completed. 
  • You can also update the playlist due date of the assigned user:
    • In the Due date column, click the [due date] or Add.
    • In the right panel, click the Due date date picker and select a new due date.
    • At the bottom, click Assign
  • To assign another user to this playlist, click Assign playlist. Then, continue setting up your assignment. 

Monitor team progress

You can monitor team progress to see who is progressing or falling behind on their trainings, allowing you to focus on the team members that need additional support.

  • In your HubSpot account, click your account name in the top right corner, then click HubSpot Academy.
  • At the top, click My team.
  • Under Certifications, review the total active, expiring, expired, and in-progress certifications on your team, as well as data showing the full scope of your active certifications. To see all the certifications in your account, click View all certifications.
  • Under Team members, review the certifications most recently completed and those expiring soon for the different members of your team. To see more, click View all team members.
    • On the View all team members screen, review the table to see where team members are in their training journey. Click the numbers next to a user to see which trainings might still be active, expiring soon, expired, or in-progress, as well as which assigned playlists are complete or incomplete.
  • Under Team's assigned playlists, review a data summary of all playlists assigned in your HubSpot account. To see more, click View all assigned playlists.
    • On the View all assigned playlists screen, review the table to see where team members are in their training journey. Click the name of the user to be taken to their profile for additional context into their assigned playlists and active/inactive certificates.
