Set up and use the HubSpot connector for Microsoft Copilot

Use the HubSpot connector for Copilot to access your CRM data directly from Microsoft 365 Copilot using natural language prompts. After adding the HubSpot connector to your Microsoft environment, you can generate AI insights in Copilot based on your HubSpot records.

For example, identify top deals or summarize contacts by lifecycle stage. Sales teams are able to review active deals and sort them by close date to prioritize work. Support reps can view their assigned tickets and sort them by priority and creation date. Customer Success teams have the ability to compare resolution approaches and results across support channels to identify trends.

Before you get started

Before you begin working with the connector, make sure to fully understand what steps should be taken ahead of time, as well as the potential consequences of using it.

Understand requirements

  • You must have access to a paid Microsoft 365 environment with Copilot turned on.
  • A Microsoft 365 admin must add the connector for the first time.

Understand limitations & considerations

  • The connector is available in the Copilot interface and in Copilot within Microsoft Teams.
  • The connector respects user permissions as defined in HubSpot. This means users can only view CRM data in Copilot that they’re allowed to access in HubSpot.
  • While in private beta, the installation requires manually uploading a provided .zip file.

Please note: while this feature is in private beta, the connector may take some time to appear after deployment. If the connector doesn’t respond after setup, restart Microsoft Teams or log out, then log back in. If Copilot doesn’t connect to HubSpot after deployment, wait 30 to 60 minutes, then try again.

Supported object types and permissions

Please note: if your HubSpot account has Sensitive Data turned on, Copilot cannot access any engagement data for added security.

Add the HubSpot connector to Microsoft 365 Copilot (admin required)

A Microsoft 365 admin must add the connector to the Microsoft 365 tenant for the first time and select which users can access it.

  1. In your Microsoft 365 admin center, in the left sidebar menu navigate to Agents > All agents.
  2. Click Upload custom agent.
  3. On the Upload agent to deploy page, click Choose file and select the provided .zip file.
  4. On the Publish agent to selected users page, configure who the connector is available to.
    • Publish: select the users or teams who can install the connector.
      • To allow all users to install the connector, click All users.
      • To specify which users and teams can install the connector, click Specific users/groups. Use the search bar to find and select the users or teams.
    • Deploy: select the users or groups who will have the connector pre-installed.
      • To allow only your user to have the connector pre-installed, click Just me.
      • To allow all users to have the connector pre-installed, click All users.
      • To specify which users and teams can have the connector pre-installed, click Specific users/groups. Use the search bar to find and select the users or teams.
  1. Click Next.
  2. On the Apply policy template page, select a policy template. Then click Next.
  3. On the Review & finish page, review the setup for the connector.
  4. Then click Finish deployment.

After deploying the connector, a Microsoft 365 admin must use the connector for the first time to complete the set up in the Microsoft 365 tenant.

  1. Navigate to Microsoft 365 Copilot or Copilot in Microsoft Teams.
  2. In the left sidebar menu, click HubSpot.
  3. In the Copilot chat window, type your prompt and press enter. Or select a prompt from the recommended HubSpot prompts.
  4. You’ll be prompted to log in to your HubSpot account. Click Sign in to HubSpot.

  1. Select the permissions you want to grant to the connector, then click Connect app.

Once the connector has been deployed in the Microsoft 365 tenant and a Super Admin or a user with App Marketplace permissions has connected first and selected the required permissions, users in that account will have access to the permissions selected by the admin.

Use the HubSpot connector for Copilot

After an admin adds the connector to the Microsoft tenant, grants access to other users, and uses it for the first time, the connector will be available in Microsoft 365 Copilot experiences, such as Teams or the Copilot interface.

  1. Navigate to Microsoft 365 Copilot or Copilot in Microsoft Teams.
  2. In the left sidebar menu, click HubSpot.
  3. In the Copilot chat window, type your prompt and press enter. Or select a prompt from the recommended HubSpot prompts. 

  4. You’ll be prompted to log in to your HubSpot account. Click Sign in to HubSpot.

  1. Select the permissions you want to grant to the connector, then click Connect app.
  2. You’ll be prompted to confirm the information Copilot is going to access based on your prompt. Click Confirm.
  3. Copilot will use HubSpot context when responding.
