Request approval to publish a social media post

Available with any of the following subscriptions, except where noted:

Turn on social media approval requests to require review and approval for social posts from specific users before publishing. 

Before you get started

  • Before using approvals, a Super Admin must turn on approval requests for social posts. 
  • After turning on social approvals, all Super Admins in your account will automatically have permission to approve content.
  • To allow other users to approve or reject content:
  • Once turned on, any user drafting a social post can choose to request approvals.
    • Approval will be required for all users except Super Admins in your HubSpot account and any other users specified in the Skip approvals settings.
    • Super Admins can still optionally request approval from other users in your account.
    • Users with social draft-only permissions will only be able to save or request approval for social posts.

Set up your social approvals

To request a review when creating social posts:

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Approvals.
  3. Under Social posts, click Set up approvals.
  4. In the Request approval dialog box:
    • Click the Approvers dropdown menu and select the checkbox next to each user to request approval from. 
    • Select an option on the threshold of approvals required:
      • All approvers: all approvers selected must approve your content before you can publish or schedule the content.
      • Just one approver: only one of the approvers selected must approve your content before you can publish or schedule the content.
  5. Click Request approval.

Request an approval 

To request a review when creating social posts:

  1. In your HubSpot account, navigate to Marketing > Social.
  2. In the top right, click Create social posts. Or, click Drafts in the left sidebar menu. Then, hover over an existing social post draft and click Edit
  3. After setting up your social post:
    •  in the top right, click Review & Schedule. In the right panel, click Request Approval
    • Alternatively, to access approvals in the collaboration sidebar, click the approvals approvals icon. Then, click Request approval in the right panel.

  1. In the dialog box, click the Approver dropdown menu, then select the users that you'd like to request approval from. You can add up to 10 users to review and approve your social post.
  2. Select an option on the threshold of approvals required:
    • All approvers: all approvers selected in the previous step must approve your social post before it can be published.
    • Just one approver: only one approver is required to approve your social post before publishing.
  3. Enter an optional message that will be included in the approval request notification.
  4. Click Request approval.

Recall an approval

  1. In your HubSpot account, navigate to Marketing > Social.
  2. Hover over your social post draft and click Edit
  3. In the collaboration sidebar, click the approvals approvals icon.
  4. In the right sidebar, click Recall approval.
  5. In the dialog box, enter a message. This will display in the recall notification to the previously selected approvers.
  6. Click Recall approval.

Review your approval status 

After requesting an approval, you can review and manage a social post's approval status from your collaboration sidebar. 

  1. In your HubSpot account, navigate to Marketing > Social.
  2. In the left sidebar menu, click Drafts.
  3. At the top of the table, click the Status column to sort your social posts by approval status.
  4. Hover over your social post draft and click Edit
  5. In the collaboration sidebar, click the approvals approvals icon.
  6. If an approval has been requested, one of the following approval statuses will be displayed:
    • Pending approval: the social post is waiting on approval. Other users, including super admins, will not be able to publish and send the social post. 
    • Approved: the social post has been approved and can be sent. 
    • Approval recalled: the approval has been recalled by the user who initially requested the approval. 

Approve or reject a social post approval request 

If another user has requested for your approval on a social post, you can navigate to review and action the request directly from the approval notification or from the social tool: 
  1. In your HubSpot account, navigate to Marketing > Social.
  2. In the left sidebar menu, click Drafts.
  3. At the top of the table, click the Status column to sort your social posts by approval status. 
  4. Hover over your social post draft and click Edit
  5. In the collaboration sidebar, click the approvals approvals icon
  6. To approve a social post:
    • Click Approve.
    • In the dialog box, enter a message. This message will be displayed in the approval notification. 
    • To request changes to the social post, click on Request changes.
      • In the comments tab, you can add comments to provide additional context.
      • You can also @mention your teammates, which will notify them that their content has been approved. 
    • At the bottom, click Approve
  7. To request for changes before publishing:
    • Click Request changes.
    • In the right sidebar, add comments to the content and then click Comment.
    • To tag the user who requested approval, type @, then the name of the user in your comment. In the dropdown menu that appears, click the user.

Manage social post approvals on the HubSpot mobile app

After setting up your social post approvals, you can request, recall, and manage approvals while on the go in the HubSpot mobile app. After requesting an approval, other users can accept or reject approval requests from the approvals tool in the HubSpot mobile app

Request a social post approval on mobile

  1. Open the HubSpot app on your device.
  2. In the bottom, tap Menu.
  3. In the Marketing section, tap Social.
  4. At the top of the page, tap Scheduled, or Draft
  5. Tap on the post that you want to request an approval for.
  6. In the top right, tap the menu icon
  7. At the bottom, tap Request approval

  1. In the Approvers section, tap the + plus icon and select the checkboxes next to the users that you'd like to request approval from. Then, tap Done
    • You can add up to 10 users to review and approve your social post.
    • If you select multiple approvers, all users must approve your social post before publishing.
  2. In the Require approval from section, select an option on the threshold of approvals required:
    • All selected approvers: all approvers selected in the previous step must approve your social post before it can be published.
    • Just one approver: only one approver is required to approve your social post before publishing.
  3. Enter an optional note that will be included in the approval request notification.
  4. After setting up your approval, at the bottom, tap Send.

Recall an approval on mobile

  1. Open the HubSpot app on your device.
  2. In the bottom, tap Menu.
  3. In the Marketing section, tap Social.
  4. At the top of the page, tap Scheduled, or Draft
  5. Tap on the post that you want to recall an approval for.
  6. At the bottom, tap Recall approval

  1. Enter a message that'll display in the recall notification to the previously selected approvers. This is optional. 
  2. At the bottom, tap Recall approval
