Use contact profiles with the HubSpot Sales Chrome extension

Access your CRM contact information directly from your Gmail inbox with contact profiles. After you've installed the HubSpot Sales Chrome extension, contact information is available directly within your inbox. Use contact profiles to review contact information and recent sales activities. You can also create tasks and associate deals or tickets, all from within your Gmail inbox.

Search your HubSpot contact database

Using contact profiles, you can search the contacts you have stored in HubSpot without having to leave your inbox:

  1. Navigate to your Gmail inbox.
  2. In the right sidebar menu of your Gmail inbox, click thesp sprocket sprocket iconspiconrocket. If the right sidebar menu isn't visible, in the bottom right, click Show side panel.

  1. In the right panel, on the Contacts tab, you can access contacts in your CRM with the following actions:
    • To search for a contact, enter the name or email in the search bar.
    • To filter contacts by a saved view, click the dropdown menu under the search bar, and select a saved view. Learn more about managing saved views
  2. Click the contact's name. Their HubSpot contact record will be displayed in the right panel.

Use contact profiles

In a contact profile, you can review contact details and recent sales activities. You can also edit contact properties, create tasks, and associate new or existing deals or tickets.

  1. Navigate to your Gmail inbox.
  2. In the right sidebar menu, click thesp sprocket sprocket iconspiconrocket
  3. In the right panel, on the Contacts tab, search for a contact and click the contact's name. The contact profile will be displayed in the right panel.
  4. To view the contact record in your CRM, click Open in CRM
  5. To view contact details, click to expand the About section. 
  6. To edit a property in the contact profile, click a property to edit. Depending on the property type, edit the value:
    • For a text or number property, enter your value in the text box.
    • For an enumeration or user property, select a value.
    • At the bottom, click Save.
  7. To view the contact’s recent sales activities, click to expand the Timeline section. This section will only display calls, emails, email tracking activity, page views, and lifecycle stage changes.

Create tasks

You can create a task that will be associated with the contact directly from the contact profile. The task will also appear on the record index page and on the contact's record in the CRM.

  1. Navigate to your Gmail inbox.
  2. In the right sidebar menu, click thesp sprocket sprocket iconspiconrocket
  3. In the right panel, on the Contacts tab, search for a contact and click the contact's name. The contact profile will be displayed in the right panel.
  4. In the right panel, click to expand the Tasks section.
  5. In this section, you'll see any existing tasks that you have created or that are assigned to you. Click Add to create a new task for the contact.
  6. Enter the task name and select a due date for the task.
  7. Click Save.

Associate new or existing deals or tickets 

Associate new or existing deals or tickets to a contact, all from the contact profile. The newly created record will be displayed on the contact profile in Gmail, the contact record in your CRM, and on the object's index page.

  1. Navigate to your Gmail inbox.
  2. In the right sidebar menu, click thesp sprocket sprocket iconspiconrocket
  3. In the right panel, on the Contacts tab, search for a contact and click the contact's name. The contact profile will be displayed in the right panel.
  4. To view records associated with the contact, scroll down to the Deals or Tickets section. 
    • Click to expand the section to view any existing records already associated with the contact. In the Deals section, the first 10 associated deals will be displayed. 
  5. To create and associate a new record, click Add.

  1. To associate a deal or ticket that already exists in your CRM, click Add.
    • Click the Add existing tab. 
    • Search for the record you want to associate, then select the checkbox next to the record name.
    • Click Next.
    • To label the record association (Professional and Enterprise only), click +Add association label to set labels that describe the relationship between the records.
    • Click Save.

Add email recipients as contacts

When emailing someone who isn't in your HubSpot contact database, in the contact profile, click Add to HubSpot to add the contact to your HubSpot account. After adding them, you can edit their contact properties from the sidebar without leaving your Gmail account.

If you have the Fill contact details from emails with HubSpot AI turned on in your account, HubSpot's AI will scan the email for the contact's information. If there's any data that is not stored in the contact record, HubSpot will populate the missing contact properties with information from the email. You can override any of the property values if needed before saving to HubSpot.

Troubleshoot issues with contact profiles

If you're consistently seeing a login message in the right sidebar of Gmail when you attempt to view contact profiles, you may need to make changes to your browser and inbox settings.

First, adjust your cookies settings in Chrome:

  1. In the upper right corner of your Chrome browser, click the Settings menu (three dots or three horizontal lines), then select Settings.
  2. In the left sidebar menu, click Privacy and security
  3. In the Privacy and security section, click Site Settings. Older versions of Chrome label this as Content settings.
  4. Click Third-party cookies.
  5. Ensure that the Allow third-party cookies setting is toggled on. Your changes will be saved automatically.
  6. If you are unable to toggle the Allow third-party cookies switch on, click Add in the Allow section and add [*.]getsidekick.com, [*.].hubspot.com, and [*.]hsappstatic.net to explicitly allow them.
  7. Refresh Gmail.

Additionally, some Gmail Labs are incompatible with the HubSpot Sales Chrome extension because of inconsistent formatting of their beta features. Specifically, the Gmail Lab called Preview Pane is not compatible with contact profiles in Gmail. Turning this off should allow the contact profiles sidebar to appear:

  1. Open Gmail.
  2. Click the gear icon, then select See all settings.
  3. Click the Labs tab.
  4. Search for Preview Pane and turn off the feature.
