Automatically populate contact properties with HubSpot AI

The Fill contact details from emails with HubSpot AI setting in your HubSpot account to populate contact properties with data from the email. By default, this setting is turned on, so when a contact sends an email to you, HubSpot uses artificial intelligence (AI) to check for any contact information included in the email signature. It can also scan the email body for a phone number. If the data in the email is not stored in the contact record, HubSpot will populate the empty contact properties with data from the email. 

HubSpot AI will scan emails that are sent to your connected inbox, replies to logged emails, or an email that is logged to the CRM using HubSpot's forwarding address.

This setting is specific to an individual HubSpot user in your account, and cannot currently be set globally across all users in your account.

Please note: HubSpot AI will only scan the email signature of the first response from a contact for any eligible contact properties. If no eligible properties are detected in the email signature of the first response, but they are included in the signature of a subsequent reply, HubSpot AI will not populate any of the properties on the contact record.

HubSpot AI will populate the following contact properties with the relevant data included in the email signature, provided that the property does not have a value and has never been updated by a user in your HubSpot account:

  • First name
  • Last name
  • Phone number*
  • Job title
  • Mobile phone number*
  • Fax
  • City
  • State
  • Country
  • Zip code
  • Street address

*HubSpot AI will scan both the email body and the email signature for a phone number.

Please note: currently, HubSpot's AI can scan emails that are composed in all HubSpot's supported languages, except Japanese. Learn more about HubSpot's language offerings

Turn automatic contact property updates on or off

If a property is updated via HubSpot's AI, the property's change source will be HubSpot AI. If you're a user with Account access permissions, you can turn this feature on or off in your HubSpot account: 

Please note: you must connect your personal email to HubSpot and enable inbox automation for the personal email in order for HubSpot AI to scan incoming emails. HubSpot AI cannot scan emails that are sent to a team email address. This feature will not create new contacts or overwrite existing contact data.

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Objects > Contacts.
  • On the Setup tab, select or clear the Fill contact details from emails with HubSpot AI checkbox to turn the setting on or off. 


Please note: when you enable this setting, it can can take up to ten minutes to go into effect. HubSpot AI will only scan new emails after you enable this setting; it will not retroactively scan your emails.
