When a contact sends an email to you, HubSpot uses artificial intelligence (AI) to check for any contact information included in the email signature. It can also scan the email body for a phone number. If there's any data that is not stored in the contact record, HubSpot will populate the missing contact properties with information from the email. This feature is controlled by the Automatically fill contact properties found with HubSpot AI setting in your account's contacts settings.
Please note: your inbox must be connected to HubSpot in order for HubSpot AI to scan the email. This feature will not create new contacts or overwrite existing contact data.
The following properties can be populated using HubSpot AI if they're included in the email signature:
- First name
- Last name
- Phone number*
- Job title
- Mobile phone number
- Zip code
- Street address
*HubSpot AI will scan both the email body and the email signature for a phone number.
If a property is updated via HubSpot's AI, the property change source will be HubSpot AI. This setting is enabled by default, but you can disable it in your contacts settings if you don't want information from incoming emails to auto-fill properties in HubSpot.
- In your HubSpot account, click the settings icon settings in the main navigation bar.
- In the left sidebar menu, navigate to Contacts & Companies.
- On the Contacts tab, click to toggle the Automatically fill contact properties found with HubSpot AI switch off.
Please note: this update can take up to ten minutes to occur. HubSpot AI will only scan new emails after you enable this setting; it will not scan your past emails.
