Manage upcoming client renewals

Use your partner dashboard to manage upcoming client renewals, with insight into your clients' upcoming contract changes (e.g., renewals, contact tier upgrades, and email overages) up to 120 days out.

  • In your HubSpot account, navigate to Partner > Dashboard.
  • Click the Upcoming renewals tab. Here, you can view the following information about your clients that have upcoming renewals:
    • Client name: the client's name. Click the name to view additional client details, such as their main points-of-contact, products, app usage, and upcoming contract changes.
    • Communication owner: the party responsible for relaying the details of an upcoming contract change to your client. This defaults to HubSpot unless you manually change it, or if you've previously indicated that you'd like to own all transactional conversations with your clients.
    • Primary client contact: the client contact who should be receiving information about an upcoming contract change. You can change the primary client contact by clicking the dropdown menu and selecting a contact from a list of account users.
    • Contract type: the contract type - renewalcontact upgrade, or email overage.
    • Status: the status of the contract change:
      • Renewed: the client has agreed to renewal terms, or at 44 days before the contract renews.
      • Confirmed: the client has agreed to the CTU or EO terms.
      • Pending: appears before the client agrees to terms or when no action has been taken before the 45-day renewal deadline.
      • Cancellation requested: the client has requested to cancel.
    • Renewal deadline: the last date for altering contract terms. This is 45 days before renewal start date.

  • Use the search bar in the upper-right of the table to quickly search for a client.
  • Click Configure columns in the top-right of the table to add or remove columns. Additional columns you can add include:
    • Website: the client's website domain.
    • Hub ID: the client's Hub ID.
    • Renewal start date: the date from which the renewal terms will be applicable.
    • Maximum contacts: the client's contact tier limit.
    • Email limit: the client's email send limit.
    • Billing frequency: the frequently at which the client is currently being billed:
      • Monthly
      • Quarterly
      • Semi-annual
      • Annual
      • Other (3) months
    • Subscription term: the number of months committed to in the client's current contract. This will typically show as 1, 3, 6, 12, or 24.
    • Current MRR: the MRR amount of the client's current contract.
    • Estimated new MRR: the estimated MRR amount of the client's upcoming contract.

Please note: the following columns are locked and cannot be removed from your table: Client nameCommunication ownerContract typeStatus, and Renewal deadline.

  • To remove a client from your upcoming renewals, hover over the client name and click End association. Once you end your association with a client, you'll no longer receive email communication when that client is coming up on contract changes or renewals.
