Use the data model health check

Overview

The Data Model Health Check scans your HubSpot account's data model for potential quality issues across objects, properties, associations, pipelines, and lifecycle stages. It helps you identify and resolve problems like unused properties, low-fill-rate fields, inactive associations, and misconfigured pipelines—keeping your CRM clean and scalable as your data model grows.

The health check is part of the Data Model Manager suite and appears as a dedicated tab alongside other data model tools.

Run a health check

  1. In your HubSpot account, click More, then navigate to Data Management > Data Model. If More doesn't appear in your account, navigate to Data Management > Data Model directly.
  2. Select the Health tab.
  3. The health check starts automatically when you open the page. To re-run the health check, click Re-run health check.
  4. The scan may take up to 20 minutes to complete. You can safely leave the page and return later. A progress indicator shows the scan is running. Once complete, results appear on the summary page.

Please note: if your last health check ran more than 30 days ago, a banner prompts you to re-run it for current results.

Understanding the results

Summary page

After the scan completes, the summary page shows:

  • Health Check Results Summary header: aggregate counts of issues found across all categories (objects, properties, associations, pipelines, lifecycle), along with a Re-run health check button.
  • Object summary table: a searchable, sortable table listing every object that has issues. Each row shows the object name, total issue count, and per-category breakdowns (Objects, Properties, Associations, Pipelines/Lifecycle). Hover over an object, and click Review issues to drill into that object.

If no issues are found once you drill down into an object, a confirmation card displays: "Great news, there's no potential issues found."

Object detail page

Clicking Review issues on any object opens a detail page with four to five different tabs depending on the object:

Tab What it covers
Objects Objects with very few records, or custom objects with no associations
Properties Low fill rate, inactive, duplicate/similar, high-fill-no-usage, and critical properties
Associations Active associations with no records associated
Pipelines Non-standard pipeline usage, too many stages, missing closed stage, low record count per stage
Lifecycle stages Lifecycle stages with low record counts

Each tab displays a table with:

  • Search bar: type in the search bar to search by issue description.
  • Issue type filter: click the Issue dropdown menu to narrow by specific issue type.

  • Actions: hover over a row in the table, then click Actions to view an overflow menu of actions (e.g., Review usage, Manage property).

  • Bulk actions: click the checkbox next to each row in which you want to perform a bulk action. At the top of the table, select the bulk action you want to take (e.g., Archive).

Issue types

The health check detects 16 issue types across 5 categories:

Objects

Issue What it means Recommended action
Custom object low record count A custom object has very few records — consider deleting or deactivating it. Delete object
Toggleable object low record count A HubSpot-defined object has very few records. Deactivate object
Custom object no associations A custom object is not associated with any other objects. Create association

Associations

Issue What it means Recommended action
Custom association low record count A custom association is active but has no records associated. Review and delete if not relevant. Delete association
Toggleable association low record count A toggleable association is active but has no records associated. Review and deactivate if not relevant. Deactivate association

Properties

Issue What it means Recommended action
Low fill rate A property has a low fill rate. Consider archiving it. Archive, Manage property, Export history
Critical property low fill rate A property displayed on key information cards on CRM record pages has low fill rates. Review the record layout and update it. Go to record customization, Export history, Manage property, Archive
Low fill rate, high usage A property is used in many assets but has a low fill rate. Review usage to determine if it's still necessary. Review usage, Export history, Manage property, Archive
Inactive property A property hasn't been updated in some time and may no longer be helpful. Archive, Export history, Manage property
Similar (duplicate) property Two properties appear to be duplicates. Review and consider syncing the data, then archiving the extra property. Archive target property
High fill rate, no usage A property has a high fill rate but isn't used in any HubSpot tools. Consider adding it to a view. Go to record customization

Pipelines

Issue What it means Recommended action
Non-standard pipeline usage A pipeline is an unusual use of this object. Explore whether this information would be better represented elsewhere. Go to pipeline settings
Too many pipeline stages A pipeline has more stages than recommended. Go to pipeline settings
Missing closed stage A pipeline is missing a closed stage. Go to pipeline settings
Pipeline stage low record count A pipeline stage has very few records. Go to pipeline settings

Lifecycle stages

Available actions

When you review issues, you can take the following actions depending on the issue type:

Mutating actions

These actions modify your data model. A confirmation modal opens before any change is applied. After a successful action, the issue is automatically marked as fixed and removed from the list.

Re-running the health check

You can re-run the health check at any time by clicking Re-run health check on either the summary page or an object detail page. The previous results are replaced with the new scan.

If a health check is already in progress, you'll see a message prompting you to refresh the page and try again.

Error handling

Scenario What happens
Scan fails A failure message appears: "We couldn't load your results. Re-run the health check to review the latest results." Click Re-run health check to try again.
Scan already in progress You'll see: "A health check is already in progress. Please refresh the page and try again."
Could not start scan You'll see: "Couldn't start health check. Please refresh the page and try again."
Generic error You'll see: "Something went wrong. Please refresh the page and try again."

Frequently asked questions

How long does the health check take?

The scan can take up to 20 minutes. You can leave the page and come back.

Do I need to manually start the scan?

No. The health check starts automatically when you open the Health tab. If a scan is already in progress, it will continue and display results when ready.

Can I dismiss issues I don't want to address?

Issue dismissal is not available in the current version.

Will I be notified when the scan finishes?

There is no push notification when the scan completes. Check back on the Health tab to view your results.

How often should I run the health check?

If your last health check ran more than 30 days ago, a banner will prompt you to re-run it. We recommend running it periodically, especially after making significant changes to your data model.
