How a HubSpot migration works

What is a full site migration?

A full website migration is when the HubSpot Migrations Team recreates your existing website in HubSpot, transferring your content and the look and feel of your site. Once the migration is completed, you will have a close approximation, although not an exact copy, of your existing website inside the HubSpot COS.

How does the HubSpot Migration process work?

If you are a new HubSpot customer interested in using the COS, your sales rep can kick off this process for you. If you have just signed up or you are a long-time HubSpot customer who is not currently on the HubSpot COS and you would like to be, your customer success manager can help you submit this request.

Once a HubSpot employee submits your request, we process and complete your migration as follows:

HubSpot reviews the website you want to migrate

The site you want to migrate must be live on the internet so that our Migrations team can access the site without approved IP addresses, workarounds, or static file transfers. We cannot process an image file mock-up of a website. We may be able to accept login credentials for fully developed websites that are staged on a password protected domain.

We will review your site for any features, designs, or functionality that cannot be migrated to HubSpot’s COS. If your website is able to be migrated, you will receive a link to your Website Review page with specific notes about expected changes during the migration process and terms. 

If you approve of the changes and terms, please confirm by filling out the form on the Website Review page. This will alert your customer success manager and he or she will send you the payment/authorization link to fill out.

Please note: Once your migration is approved, you should not make any further changes to your site. HubSpot cannot guarantee that we can apply any changes made after we review and kick off your migration. After your migration is complete and you take your site live, you can easily make these changes.

HubSpot places your migration job in a work queue

Typical completion time for a full website migration is 10-21 days, depending on the site's complexity and size, as well as total number of projects to process. HubSpot maintains an internal queue of migrations-to-be-completed, so we're able to estimate (but not guarantee) a finish date for your migration job.

You can monitor the status of your project in your portal by going to the Account menu > Account & BillingMigrations

A HubSpot migration technician executes the migration

A HubSpot technician will begin by producing the template layouts and style. Once these are prepared, they will begin to recreate your pages on the HubSpot COS. Our goal is to replicate your site as closely as possible on HubSpot’s COS, less any agreed-upon changes.

HubSpot runs a QA check

When the migration technician completes the migration, our Technical Services team will be notified and begin to examine your migrated website. They'll be looking to see that pages were migrated and that things look generally as expected. They will also test the site's responsive design.

If edits are required, they will work with the appropriate parties to make updates. 

HubSpot notifies you via email when the migration is complete

You will be notified approximately 10-21 days after the migration project is created. If your migration is taking longer than expected, you may inquire about the status of your site by reaching out to your HubSpot contact or checking the timeline (Account menu Account & Billing Migrations) in your portal. 

You review the migration

Check over your website migration in your HubSpot Marketing portal at Content > Website Pages, Landing Pages, and/or Blog. Because of your deep familiarity with your own website, you may find errors, omissions, or items that don't work as expected. 

If you notice an issue, you can navigate to the Account menu Account & Billing Migrations and select Report migration issue

What should I do while reviewing my migrated site?

After your migration is complete, there are a few bits of setup still to do:

  1. Set up form actions for all migrated forms: navigate to each form on your site and edit the actions the form takes after someone submits. You can add email addresses to be notified of submissions, Salesforce Campaigns, thank you messages or pages, and any email responses for those submitting. Learn more about forms in HubSpot here.
  2. Reinstall any tracking codes (e.g. Google Analytics): our migration process does not include moving external tracking codes. Follow these steps to copy over any that you wish to continue using on HubSpot.
  3. Exclude your own traffic from analytics: make sure to filter out your traffic so you get the best possible measurement of your visits, leads, and customers in HubSpot’s analytics. 
  4. Set up your blog options and social media accounts: configure your blog and social media settings before you start publishing any new content.
  5. Continue with your training: taking your site live unlocks a ton of new functionality in HubSpot so now is a great time to learn more about it. You can find a variety of training resources in the Academy here

Take your site live

When your website migration is fully complete and you are ready to take it live, a support specialist will be able to guide you through the process.  We also include general instructions in your Content > Content Settings > Domain Manager page.

What cannot migrate and what about my site might change?

Below are some examples of content types and features that HubSpot cannot migrate:

  • Database-driven pages
  • Login or members-only section
  • Flash websites, Flash navigation, and Flash with embedded links/multiple files associated
  • Blog comments
  • Progressive, multi-step forms
  • Most ecommerce functionality
  • Dealer locators
  • Real estate listings
  • Calculators and other gizmos that use server-side scripts (some JS widgets may be possible)
  • Live chat (some JS services may be possible)
  • Most ads (many require server-side access to drive the ad networks)
  • Video files that are not .swf (.flv, .mov, .mp4, .wmv, etc.)
  • User-generated content (forums, ratings, etc.)
  • Forms requesting Personally Identifiable Information

If these are found on your website during a review, you will receive specific notes about how these should be handled if you wish to migrate. You can host content elsewhere through a different web host on a subdomain.

An important note on design and redesigns:

Please note that a HubSpot Migration is not a design or a redesign project. Migration technicians try to create a close approximation of your website, less any changes mentioned in your Website Review or in discussions with your HubSpot contact. You’re welcome to make changes to your migrated website, but HubSpot’s migration technicians cannot accommodate any requests to make design and content changes that differ from your original website.

If you would like to redesign your site after taking it live, you may make the changes yourself or work with one of our Service Marketplace Providers to get the perfect look and feel.
