Resolve an email sending probation

If you're using HubSpot's free tools or if you have a Marketing Hub Starter account, when any of your key email deliverability metrics drop below a certain threshold, you will be put on an email sending probation to safeguard your sending reputation.

Understand email sending probation

The deliverability thresholds that will trigger an email sending probation (for example, a high hard bounce rate) depend on the sending volume associated with the industry of your business. The email health dashboard provides a snapshot of your current email health based on your industry, as well as recommendations to ensure you maintain a healthy sending reputation.

If your account is put on probation, you'll be prompted to review your contacts to confirm that you're only sending to recipients who meet the following criteria:

  • Granted explicit consent to receive marketing emails from your business.
  • Have engaged with the contents of your marketing emails in the past.

Once you've completed the contact review process, your account will no longer be under probation and you can resume sending marketing emails.

Failure to address issues with your contacts will result in an escalation in your probation. After two probationary warnings, your email sending will be fully suspended.

Resolve an email sending probation

If your HubSpot account is affected by an email sending probation, a banner will appear at the top of the marketing email tool.

To review your contacts and resolve the probation:

  1. In your HubSpot account, navigate to Marketing > Email.
  2. In the email sending probation banner, click Review contacts.
  3. In the right panel, click Next. 
  4. Review the information on explicit consent, then click Next
  5. Review the information on how to avoid emailing contacts who haven't provided consent, then click Next
  6. In a separate tab, delete any of your marketing contacts who haven't consented to receive marketing emails. It's recommended to also remove any contacts without a valid email address.
  7. Once you've removed these contacts, select the I've reviewed my marketing contacts checkbox, then click Next
  8. Click Done

Once you resume sending emails, your hard bounce rate should begin to improve. It's recommended to regularly review your email health dashboard to ensure a healthy sending reputation.
