Edit user permissions

Super admins and users with Add and edit users permission in your HubSpot account can change a user's permissions. Users will need to log out of the account and back in before updates to their permissions will take effect.

You can also view a user's permissions history to track their permission changes over time.

Please note: if you try to assign a permission set with a paid seat to a user, and don't have any remaining paid seats on your HubSpot account, you will be directed to a checkout page to purchase an additional paid seat. 

Review and filter user data

You can view a highlight card and user table to get a holistic view of your users' data.

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • Click Users & Teams in the left sidebar menu.
  • At the top of the Users tab, you can view a card highlighting important sets of user information within an account.


  • Below the highlight card, scroll through the user table to view the following user-specific information:


    • Name
    • Seat
    • Permission Sets (Enterprise only)
    • Access
    • Main Team (Professional and Enterprise only)
    • Extra Teams (Professional and Enterprise only)
    • Invite Status
    • Partner User
    • Last Active
    • SCIM Status (Enterprise only)
    • Email Status (Super Admin only)
    • Calendar Status (Super Admin only)
    • Calendar Sync (Super Admin only)
    • Scheduling Pages (Super Admin only)
  • Use the Invite Status and Last active dropdown menus at the top of the table to filter your data further.
  • You can filter for any property by clicking Advanced filters. In the right panel, click + Add filter, then select a property to filter by. To continue adding filters, click AND or OR to further refine your search. Close out of the panel to view the filtered table. 


  • To clear filters, click Clear all at the top of the table.
  • To rearrange the column order or remove certain items from the table, on the right of the table, click Edit columns.


  • On the left side of the dialog box, click the checkboxes to add or remove items from the table. On the right of the dialog box, drag the options into your preferred order of appearance on the table. Close out of the dialog box to view your changes.


Edit user seats, permissions, access, presets, and profile

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • Click Users & Teams in the left sidebar menu.
  • On the Users tab, scroll to the user table, and click the name of the user. You will be taken to that user's overview screen. 
      • To edit permission sets (Enterprise only), under Permission set, click Edit permission set. On the Editing access page, click the Permission Sets dropdown menu, and select a new permission set. Click Save.

Please note: assigning a permission set will override an individual's permissions.

      • To review user permissions, under Permissions, use the Current view dropdown menu, to review the different permissions assigned to the user. To edit these permissions, click Edit permissions. Learn more about setting up user permissions.

    • To edit access by team, click the Setup tab, then click Teams. Use the Main Team and Extra Teams dropdown menus to give users access to team content and assets. 


    • To assign presets (Professional and Enterprise only), click the Setup tab, then click Presets. Click the Preset dropdown menu to select a preset. To create new presets, click Presets above the dropdown menu.


    • To change the user's profile name, phone numbers, timezone, or job title, click the Profile tab. Type in the text boxes to edit the different fields.


  • When you are done editing user permissions, click Back to all users at the top of the screen. 


  • To make the user a super admin, next to the user's name, click the Actions dropdown menu and select Make Super Admin. In the dialog box, click Save. This will automatically give the user access to all tools and settings for your account's subscription tier and seat access. Learn more in HubSpot's Product & Services Catalog.

Please note: users can only give access to the same permissions they have. For example, only super admins can give other users Super admin access

  • To remove the user as a super admin, click the Actions dropdown menu and select Remove Super Admin. In the dialog box, click Save
  • To make the updated user permissions take effect, log out and log back in to your HubSpot account.

To edit user permissions for multiple users at a time:

  • Select the checkbox next to the users whose permissions you want to edit.
  • At the top of the table, navigate the available options for how you want to give and limit permissions.eselect-multiple-users

Other levels of access you can customize include restricting edit access to properties to specific users and assigning content access to specific users.
