Host videos in HubSpot

HubSpot Videos will now be hosted through HubSpot, rather than through Vidyard. All current features of HubSpot Video will be retained, and new features will be added in the coming months. 

Customers without a paid Vidyard subscription will have until March 8, 2022 to opt into HubSpot Video.  Customers who don't opt in will still be able to access their videos in the files tool, but they will no longer support CTAs, forms, or analytics after March 8, 2022. Users must have Account Access permissions to opt their account into HubSpot Video. 

Customers with a paid Vidyard subscription are eligible for a manual migration of their existing videos to Vidyard, paid for by HubSpot. A list of videos eligible for manual migration is available here.  Developers can also attempt the migration themselves, following these guidelines. Moving forward, Vidyard subscriptions will continue to be managed in Vidyard, and Vidyard videos can be added to HubSpot with Vidyard’s video module integration.

For customers with a paid Vidyard subscription, an in-app notification will appear with three options: ignore the notification and have until March 8, 2022 to opt into HubSpot Video or lose the forms, CTAs, and analytics on your videos; repeat the notification in one week; or consent to migration to Vidyard performed manually by a vendor, either HubSpot Elite Partner Lynton Web or Web Plant.

Please note: the notification will appear for all users, but only users with the Account Access permission can opt into a migration. 

Ignore the notification through January 15, 2022

  • From January 16, 2022 through March 8, 2022, you will be shown a banner with the option to opt into HubSpot Video. 
  • If you have not opted in by March 8, 2022, all videos will have their forms, CTAs, and analytics removed. The videos will remain in the files tool. 
  • If you later opt into HubSpot Video, you can host new videos in HubSpot.
  • Vidyard videos can be added to HubSpot through Vidyard's HubSpot integration
  • Vidyard will no longer provide analytics for videos hosted in HubSpot. 

Select the option to be reminded later 

  • The notifications will repeat after a delay of one week. 
  • This option will no longer be available close to the January 15, 2022 deadline.

Allow HubSpot to manually migrate videos

If you prefer to have your videos moved to Vidyard, a vendor, either HubSpot Elite Partner Lynton Web or Web Plant, can manually switch videos from using HubL embed codes to using Vidyard embed codes. Manual migration ensures that the embed codes for all applicable videos are migrated accurately. 

Understand the migration objectives

Once the migration is complete, video files will be organized like this: 

  • Existing videos will not be switched over to HubSpot Video, but will still be present in the files tool.
  • Migrated videos can no longer be managed in HubSpot. All analytics will now be reported in Vidyard instead of HubSpot. 
  • Once the migration is complete, new videos can be hosted in HubSpot, while existing Vidyard videos can be managed in Vidyard.
  • Once the migration is complete, Vidyard videos can be added to HubSpot through Vidyard's HubSpot integration

Understand the migration process

HubSpot has contracted the Elite Solutions Partner Lynton Web, as well as Web Plant, to manually assist with the migration process. All costs for this process will be covered by HubSpot. All project management, costs, and contractual items will be handled directly by HubSpot with Lynton Web and Web Plant on behalf of accounts that opt into the migration.

HubSpot will automatically add Lynton Web or Web Plant's user to your account so they can complete the migration. Once the migration is complete, the user will automatically be removed from your account. 

You can remove Lynton Web or Web Plant's user from your account at any time, but this will prevent the migration from being completed. You can also restrict access for Lynton Web or Web Plant's user, but this may prevent them from completing the migration.

Users with the Account Access permission will be able to track actions taken in your account. Any additional questions on this topic can be directed to your HubSpot account representative. 

Understand the vendor's permissions in your account

The user role provided by HubSpot to Lynton Web or Web Plant will have access to view and/or edit permissions within your account for the following features:  

  • CRM: contacts, companies, deals, tasks, tickets, quotes, target accounts, calls activity feed, inbox, chatflows
  • Marketing: files, forms, CTAs, emails, blog, landing & website pages, HubDB, design manager, global theme settings, VAST template pack, content strategy, website settings, sitemaps, SEO, content recommendations, ,  navigation menus, subdomains, custom domains, URL redirects, CMS developer source code, developer tools.
  • Reports: Google Search Console, eCommerce data, content reporting
  • Service: knowledge base
  • Settings: language settings

Please note: Lynton Web or Web Plant's user will not have admin access or the ability to add users. However, they will be added to any pages that have access restricted by team membership
