Manage video files

From the files tool, you can turn on advanced features for your video files. You can also configure other file details such as editing the video thumbnail and adding subtitles. Learn more about managing individual file details.
After uploading and managing your video file in the files tool, learn how to add videos to your HubSpot content.
Understand video advanced features
For each video in the files tool, you can choose whether to turn on advanced features. Do note the following:
- When uploading a new video file, advanced features will be turned on by default.
- You can turn on advanced features for up to 50 videos in your HubSpot account. To increase the number of videos with advanced features, you can purchase the video limit increase add-on.

Manage your video file details
To manage your video file's details:
- In your HubSpot account, navigate to Library > Files.
- From the files tool, click the name of the file.
- In the right panel, configure each of the following options:
- File URL visibility: change the visibility and accessibility of your file. Learn more about managing your File URL visibility.

- File URL by domain: to update your file's URL domain, click the dropdown menu and select one of your connected subdomains.
- By default, files are hosted on HubSpot's content delivery network system domain, with f.hubspotusercontent appearing in the domain of the file URL.
- You can update your settings to host all files on one of your connected subdomains.
- File expiration date: set a date and time for the file to expire.
- To remove a file's expiration date, select the date picker and click Cancel. If no expiration date has been set, the file will be retained indefinitely.
- When the file has expired, it will automatically be sent to files trash.
- Accessibility: add alt text to your video file. This text will apply as a title attribute on video files.
- File Usage: review a list of HubSpot content and templates using images or video files hosted in the file manager.
- File history: review a log of changes made to the file such as edits to the file visibility, previous file deletions, and more.
- General: review general file details such as when the file was created and last updated, file size, file type, internal file ID, file description, and keywords. If you've turned on your AI file data setting, this will also include AI-generated descriptions and keywords.
- Advanced features: click the toggle to turn video advanced features on. After turning on Advanced features, you can update the following additional options:
- Change thumbnail: hover over the video and click Change thumbnail to update your video thumbnail. Custom thumbnails will only apply to videos used in Hubspot content.
- File URL by domain: to update your file's URL domain, click the dropdown menu and select one of your connected subdomains.

- Copy HubL Snippet: click Copy HubL snippet to copy a snippet to your clipboard for use in HTML/HubL templates.
- Subtitles: if the Advanced features switch is toggled on, you can upload a subtitle file for your video.
Edit a video file thumbnail
After uploading a video file to the files tool, you can use a specific frame as a thumbnail or customize a thumbnail design using Adobe Express. Custom thumbnails will only apply to videos used in Hubspot content. Visitors will see this custom thumbnail before selecting play. Learn more about adding videos to your HubSpot content.
- In your HubSpot account, navigate to Library > Files.
- From the files tool, click the name of the file.
- Hover over the video and click Change thumbnail to update your video thumbnail.
- To use your a specific frame for your video, scroll through the video and click Use frame at [time].
- To use an uploaded image or an existing image from your files tool, click Replace image. Then, select or upload an image from the file picker.
- To crop a thumbnail image from the existing frame, click Edit. Then, select Crop.
- To create a custom thumbnail design with Adobe Express, click Edit. Then, select Edit with Adobe Express. To learn more about the basics of using Adobe Express, check out their Learn Adobe Express guide.
Add captions or subtitles to videos
You can add subtitles in multiple languages to videos with advanced features turned on. This will make your videos more accessible for visitors who cannot hear audio or speak a different language.
When adding subtitles, please note the following:
- Subtitles must be prepared in a .vtt file before starting this process.
- You can add up to 6 subtitles per video.
- Each language can only be selected once. For example, you cannot have two different French subtitles.
- Subtitles will only appear when a video is added to a page. Videos accessed through URLs will not display subtitles.
To add subtitles to a video file:
- In your HubSpot account, navigate to Library > Files.
- Click the name of the video where you want to add subtitles.
- In the right panel, click to expand the Subtitles section.
- Click + Add new language.
- In the dialog box, click the subtitle language dropdown menu and select a language.
- Click Select a file, then upload your .vtt subtitle file to HubSpot.
- Click Save. The new subtitle's language will appear in your file details, you can view, replace, or delete this subtitle:
- To view the contents of a subtitle's file, click View.
- To replace a subtitle's file for a specific language, click Replace.
- To delete a subtitle for a specific language, click Delete.
- To add another subtitle, click + Add new language.
