After uploading your files, turn on and use AI to search your files based on description and keywords, which will be matched to the search terms.

If you have a Marketing or Content Hub Professional or Enterprise subscription, use AI to automatically add file descriptions and add keywords. When using this feature, public files in the files tool will be analyzed. Then, descriptions and tags will be generated for each file.

Turn on file analysis

To use AI to tag and search your files, you must turn on the following AI settings. After turning on your AI settings, public files will be analyzed. Learn more about managing your AI settings.

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, in the Account management section, navigate to AI.
  • In the Access tab of your AI settings, click to toggle the Give users access to generative AI tools and features and Files data switch on.

If you have a Marketing or Content Hub Professional or Enterprise subscription, when this setting is turned on, descriptions and keywords will be automatically generated for all public files. If these settings have previously been turned on, not all files may be populated. This includes PDFs, audio, text, word, and PowerPoint files.

  • To generate descriptions and keywords for existing files, turn off, then turn on the Files data switch.
  • If you notice some of your files are still missing a description, please wait 7 days and try again.

Review and edit your files' descriptions and keywords

You can manually input your image file's description and keywords. Alternatively, if you have a Marketing or Content Hub Professional or Enterprise subscription, descriptions and keywords will be generated for each file.

  • In your HubSpot account, navigate to Library > Files.
  • From the files tool, click the name of the file.
  • In the right panel, click to expand the General section. In the File analysis section, the AI-generated description and keywords will appear.
  • To update the file description, click the edit pencil icon and enter or edit the description text. When customizing your image file's description, there is a 1000 character limit.
  • To add or update the keywords used, hover over the keywords and click the edit pencil icon.
    • To add a new keyword, click + Add. Then, enter your new keyword.
    • To remove an existing keyword, click the X icon next to the keyword.
