Troubleshoot common Zoom webinar sync errors

Once you have connected Zoom to HubSpot and turned the Zoom webinar sync on, you may encounter sync errors that prevent data from syncing. You can identify and resolve these sync errors in your Zoom integration settings.
View Zoom webinar sync errors
Review your Zoom webinar audit logs to view the status of your webinars syncing with HubSpot and troubleshoot any errors.
To view the audit logs:
- In your HubSpot account, click the settings settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps.
- Click Zoom.
- Click the Home tab.
- In the Webinars section, click Audit logs next to the webinar you want to review.
- In the right panel, review the status of any sync changes. If there are any warnings, review the errors below to resolve them.
Common Zoom webinar sync errors
Some webinar data did not sync because your sync setting is turned off
How to resolve the error
Check that global sync settings and webinar sync are turned on. Global sync must be turned on by your HubSpot account admin before webinar sync can be turned on. Any missing webinar data will successfully sync once both settings are turned on.
Webinar recording/transcription did not sync
What the error means
This error may occur because:
- Your sync settings are turned off in your HubSpot account.
- There were no participants in the webinar.
- Your webinar recording is unavailable, deleted, or found.
- Your webinar recording isn't yet available as it's still processing.
How to resolve the error
Check that global sync, webinar sync, and recording and transcript sync settings are turned on. If all settings are turned on, manually sync the webinar to HubSpot by hovering over the webinar name and clicking Sync now.
Some participants did not sync
What the error means
HubSpot is unable to sync participant data from Zoom as there's no participant information tracked in your Zoom account. This can occur if no participants join the webinar or if there are errors in the data.

Check the participant data in Zoom for more insight.
Some webinar data did not sync
What the error means
This error may occur because your global sync settings, webinar sync settings, or recording and transcript sync settings are turned off for the webinar. In some cases, contact records, marketing event records, and call object records may not have been created. This occurs if there's an invalid email address or if the data is unavailable in Zoom.
How to resolve the error
Check that global sync, webinar sync, and recording and transcript sync settings are turned on. If all settings are turned on, manually sync the webinar to HubSpot by hovering over the webinar name and clicking Sync now.
Some email addresses have been excluded from webinar sync
What the error means
Emails will be excluded from webinar sync due to the following reasons:
- The email address belongs to a user in the HubSpot account.
- The email address contains a domain excluded in the integration settings.
- The email address isn't valid.
- The email address is the contact's secondary email address.
How to resolve the error
No action is required unless you wish to remove any exclusions from your settings.
Some webinar data did not sync due to an error
What the error means
Some common errors include:
- The webinar transcription couldn't be found.
- A timeline event couldn't be created.
- Contact properties couldn't be updated.
- Data couldn't be found from the connected Zoom account.
How to resolve the error
Check that global sync, webinar sync, and recording and transcript sync settings are turned on. If all settings are turned on, manually sync the webinar to HubSpot by hovering over the webinar name and clicking Sync now.
