Bulk update user email domains

Using the bulk update email domain feature, Super Admins can update their users' email domains at the same time. For example, if your company has recently gone through a rebrand, you can update the domain of all user emails at once.

Subscription required You must be a Super Admins to bulk update user email domains.

Before you get started

  • When updating the email domain, if a user has the same domain across different HubSpot accounts, the domain will be updated across all accounts where they use that domain.
  • To bulk update email addresses, the following requirements must be met:
    • If you have single sign-on turned on, you'll need to turn it off before making this change.
    • If you have SCIM through Google or Okta turned on, you'll need to turn it off before making this change
    • The new email domain that the users will be updated to must first be connected to HubSpot as a hosting or email sending domain.
    • The Super Admin performing the bulk domain change must have a user email address with the same existing source domain as the users that are being updated.
    • The current existing source domain that is to be updated must be connected to HubSpot as a hosting or email sending domain.

How to bulk update users email domains

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Users & Teams.
  3. Above the user table, in the upper right, click Actions, then select Change user email domains.

  1. Click the New email domain dropdown menu and select the new domain. If you haven't set up the new domain in your account, follow these steps to add it.

  1. Click Next.

  2. An email will be sent to your current and new domains, to make sure you have access to them. Once you have validated the new domain, the status will change from Not confirmed to Confirmed.

  1. A summary page will display, showing the users affected by the change. 

    • If there's one Super Admin on the account, click Change user email domains to confirm the changes.

    • If there's more than one Super Admin on the account, a second Super Admin will need to review and approve the domain changes. Click Send for approval to send to the second Super Admin for review.

    • Once the second Super Admin approves the request, return to the Bulk update email domain page in your HubSpot account and confirm the change. 
  1. Once confirmed, users will receive a confirmation email with their new domain to both their previous, and new domains.
