Review your workflow's enrollment history

After turning on a workflow, you can review the workflow's enrollment history from the workflow editor. From the workflow's enrollment history, you can also review the workflow's enrollment and path for individual records

You can also review a workflow's enrollment history from the Enrollment history tab on the workflow's details page. 

Filter your workflow's enrollment history

Historical data for enrollments is stored in HubSpot for 6 months. To filter your workflow's overall enrollment history: 
  1. In your HubSpot account, navigate to Automation > Workflows.
  2. Click the name of the workflow to navigate to the workflow editor.
  3. In the top right of the editor, click Performance history > Enrollments history. Or, from the navigation menu in the top left, click View > Enrollment history.
  4. In the right panel, the enrollment history will be displayed in reverse chronological order, with the most recent events appearing at the top. To filter the enrollment history, click the date pickers and select custom date range

  1. To filter your enrollment history by the workflow version that the records are enrolled into, click the Filter by workflow versions checkbox.
    • When the checkbox is selected, a preview of the workflow version will appear.
    • If the checkbox is not selected, the workflow preview will not appear. 
  2. When filtering the enrollment history by workflow version, you can set up the following additional filters. These additional filters will not appear if the Filter by workflow versions checkbox is not selected. 
    • Workflow versions: filter by records that enrolled in specific versions of the workflow, that share the same flow. 
      • Select the first dropdown menu and select the starting version for the range of your workflow versions.
        • The options will be grouped by Uses the same flow diagram. The versions within each group will have the same number, type, and order of actions. But the details for each action may vary between versions. 
        • If the actions have been configured differently between versions, the details of the action will not appear. Instead, you will see the following alert: Details are hidden because the workflow versions filter includes multiple versions, and these details have changed between them. 
      • Select the second dropdown menu and select the last version for the range of your workflow versions.
        • Only workflow versions that use the same flow and that are newer than the starting version will appear as options.
        • To see the widest range of versions within, select the oldest version for the first dropdown menu and the newest version of the group for the second dropdown menu.
    • Date range - within those versions: filter by the date range when the records enrolled into the workflow.
      • This will be limited by the dates of the workflow versions selected.
      • The newest date in this filter may be more recent than the date displayed in Workflow versions filter. The Workflow version filter is based on the creation date of that version of the workflow, while enrollments may have occurred after that date.
    • Only enrollments that reached: filter by records that have reached specific step in the workflow. 
      • You can select more than one step. As long as the step's action has been executed, the record will be visible, whether it proceeds through the workflow, completes it, or unenrolls after.
      • If no step have been selected, all enrollments that match the date range filter will appear. 
      • To add or remove a step:
        • To add a step, click the dropdown menu and select the checkbox next to the action. Or, click the action card in the workflow preview. When a step has been added, the step will be highlighted in the preview. 
        • To remove a step, click the x icon next to the action.

Export your workflow's enrollment history

After filtering your enrollment history, you can export the filtered data to a static segment. Learn more about static segments
  1. In your HubSpot account, navigate to Automation > Workflows.
  2. Click the name of the workflow to navigate to the workflow editor.
  3. In the top right of the editor, click Performance history > Enrollments history. Or, from the navigation menu click View > Enrollment history.
  4. After filtering your enrollment history, click Export to list
  5. In the dialog box, enter a name for your new static segment. 
  6. Click Export
