Manage Caller ID, manual contact syncs, and call logs in the HubSpot mobile app

Available with any of the following subscriptions, except where noted:

Set up Caller ID to display a contact's information when you receive an incoming call. When you set up Caller ID, you can do the following:

  • Turn on and off Caller ID: The HubSpot mobile app uses the Phone number and Mobile number property field types to determine the contact who's calling. If you already saved the person in your phone's contact list, the information from your phone's contact list will be shown instead.
  • Manually sync contacts: Sync contacts before HubSpot performs an auto-sync. Auto-syncs occur every 24 hours.
  • Turn on and off the Log calls screen (Android & Xiaomi only): The Log calls screen appears after the completion of a phone call from the HubSpot mobile app. You can turn this screen off at anytime. 

Before you get started

Please note the following:

  • Caller ID works best with fewer than 10,000 contacts. For larger accounts, Android devices will attempt to retrieve additional contact information if a reliable mobile connection is present.

  • For optimal Caller ID performance, ensure the contact phone number includes a + country code and area code free of spaces or parentheses (e.g., +353871234567).

Turn on Caller ID (iOS)

To turn on HubSpot Caller ID in your iOS device settings. 

  1. Open iOS settings
  2. Tap Apps > Phone
  3. Tap Call Blocking & Identification
  4. Toggle the HubSpot switch on. 
  5. To ensure Caller ID is turned on in the app, open the HubSpot app.
  6. Tap the Menu icon on the top left, then tap the settings settings icon in the left sidebar.
  7. Tap Calling > Caller ID
  8. Caller ID will show that it is turned on.

When a person calls you, the Caller ID will display the contact's first name, last name, and company name if the caller is in your HubSpot app.

If you miss the call, the contact's information will display in your iPhone call log.

Turn on Caller ID and the Log calls screen (Android)

If you're an Android user, you need to turn on HubSpot Caller ID in your HubSpot settings, and grant HubSpot permission to access and make calls on your device.

Turn on Caller ID

To turn on Caller ID on your Android device:

  • Open the HubSpot app.
  • Tap the Menu icon in the top left, then tap the settings settings icon in the left sidebar.
  • Tap Calling > Caller ID.
  • Toggle the Caller ID switch on. 
  • In the dialog boxes, grant the required permissions for HubSpot to access and manage calls:
    • Click Allow to allow HubSpot to access your call logs. This permission is required to intercept the call and present the Caller ID information.
    • Click Allow to allow HubSpot to make and manage calls from your device. This permission is required to match inbound calls and show the Log calls screen.

When a contact calls you, the Caller ID will display the contact's first name, last name, company name, and the associated deal name and deal amount.

If you miss the call, you'll receive a notification where you can view the contact or select to call them back.

Turn on the Log calls screen

Once you've turned on Caller ID, you can log calls made outside of the HubSpot mobile app:

  • Open the HubSpot app.
  • Tap the Menu icon in the top left, then tap the settings settings icon in the left sidebar.
  • Tap Calling > Caller ID.
  • Toggle the Log calls switch on.
    • For outbound calls, you'll be prompted to log outbound calls with existing contacts outside of the HubSpot mobile app.
    • For inbound calls, you can only log a call made from an existing matching contact in the CRM.

Turn on Caller ID and the Log calls screen (Xiaomi)

For Xiaomi Devices, autostart and display pop-up windows need to run in the background to turn on Caller ID and the Log calls screen. 

Turn on autostart

To turn on autostart:

  • Open Settings. If you don't have Settings, open Security.
  • Tap Permissions.
  • Tap Autostart.
  • Toggle the HubSpot switch on.

Turn on display pop-up windows

To turn on display pop-up windows:

  • Open Settings.
  • Tap Permissions.
  • Tap Other permissions.
  • Tap HubSpot app.
  • Toggle the Display pop-up windows while running in the background switch on.

Review Caller ID settings in the HubSpot app

To ensure Caller ID is turned on in the HubSpot mobile app:

  • Open the HubSpot app.
  • Tap the Menu icon on the top left, then tap the settings settings icon in the left sidebar.
  • Tap Calling > Caller ID
  • Caller ID will show that it is turned on.

When a contact calls you, the Caller ID will display the contact's first name, last name, company name, and the associated deal name and deal amount.

If you miss the call, you'll receive a notification where you can view the contact or select to call them back.

Turn on the Log calls screen

Once you've turned on Caller ID, you can log calls made outside of the HubSpot mobile app:

  • Open the HubSpot app.
  • Tap the Menu icon in the top left, then tap the settings settings icon in the left sidebar.
  • Tap Calling > Caller ID.
  • Toggle the Log calls switch on.
    • For outbound calls, you'll be prompted to log outbound calls with existing contacts outside of the HubSpot mobile app.
    • For inbound calls, you can only log a call made from an existing matching contact in the CRM.

iOS users can turn off Caller ID and manually sync contacts.

Turn off Caller ID

To turn off Caller ID:

  • Open iOS settings
  • Tap Apps > Phone
  • Tap Call Blocking & Identification
  • Toggle the HubSpot switch off. 

Manually sync contacts 

To manually sync contacts: 

  • Open the HubSpot app.
  • Tap Menu, then tap the settings settings icon in the left sidebar.
  • Tap Calling > Caller ID.
  • To manually sync contacts, next to Sync contacts, click the refresh refresh icon. The last update timestamp and number of contacts synced will appear below. 

Please note: contacts are synced automatically every 24 hours. The app doesn't have to be open to sync unless certain OS optimizations are triggered (e.g. battery optimization).
