Sync lead ownership and activities

The lead owner property assigns users as owners of leads. By default, this property is independent of the Contact or Company owner properties of associated records. This means the user who owns a contact or company may not own the associated lead. Also, activities from the associated contact or company don't sync to the lead by default. Manage sync settings for lead ownership and activities. This can help maintain consistent data between associated leads, contacts, and companies.
Permissions required Super Admin or Edit property settings permissions are required to manage settings for syncing ownership and activities.
To sync lead ownership or activities:
- In your HubSpot account, click the
settings icon in the top navigation bar. - In the left sidebar menu, in the Data Management section, click Objects.
- On the Objects page, click the Select an object dropdown menu and select Leads.
- Toggle the Sync lead owner with contact and company owner switch on. To also update your existing open leads, click Yes in the dialog box.
- If you create a lead from the sales workspace or lead index page you must associate a contact or company you own.
- If a lead is closed, changes to the lead owner won't sync automatically.
- Toggle the Sync lead activities with lead owner switch on.
Please note: when the Sync lead activities with lead owner setting is on:
- If you associate an activity with a company record but not a contact record, it won't sync to the lead.
- Email, meeting, call, SMS, and WhatsApp activities will sync to a lead only if the associated contact has an open lead, meaning the lead hasn't been qualified or disqualified. HubSpot checks the lead's status when the activity is associated with the contact. Activities associated with a contact after the lead is qualified or disqualified won't automatically sync to the lead.
- If an activity doesn't sync automatically, you can manually associate it with the lead. Learn more about manually editing activity associations.
- To turn off either setting, click to toggle the switch off.
