You can use contact properties in HubSpot to gather more information about your contacts and their associated companies. The platform comes preloaded with many standard contact properties to get you started, but you can personalize this by creating custom contact properties that are more relevant to your specific non-profit organization.
The custom properties you create will store the information prospective donors, members, and/or volunteers in order to figure out how to best serve them. Capturing this information via forms or other external systems will help you effectively segment your contacts database to communicate with your audience.
Create custom property groups
The first step in effectively creating multiple properties specific to your nonprofit organization is to create custom groupings for these fields. The most common categories are Membership Information, Donor Information, and Event Attendance Information. This will vary based on your organization's needs and you should customize these groups as needed.
Please follow the steps below to create a custom property group.
- Navigate to Contacts > Contacts Settings.
- Near the top right, click on the Create new property group button.
You can now add properties to this group either when creating a new property or by moving an existing property into the group (which can be done by dragging properties to new positions from the Properties section of individual Contact records).
Create Custom Contact Properties
Once the Property Groups are created, it is time to build a list of the individual properties that roll up into each group. Please follow the directions noted below to create a custom contact property.
- Navigate to Contacts > Contacts Settings.
- Click Create new property.
- Proceed to Label and Name the property.
- Select a Field type.
- Choose the contact group in which you'd like this contact property to appear.
- Click Save property to finish.

Below, you will find the common contact properties that nonprofit organizations use, divided into suggested groups. The property name is followed by the recommended field type you should use when creating these properties along with a brief description of the property.
Recent Gift Date (Date picker): date of a donor’s most recent contribution.
Recent Gift Amount (Number - currency): amount in USD of a donor’s most recent contribution.
Preferred Giving Channel (Dropdown select): the method of giving a donor prefers when making a contribution.
Donation Frequency (Dropdown select): how often the donor makes a gift to your organization (property option examples: monthly, annually, bi-annually, once, never).
First Gift Date (Date picker): the date of the donor’s first ever contribution to the organization.
First Gift Amount (Number - currency): the amount of the donor’s first ever contribution to the organization.
Lifetime Giving (Number - currency): the total amount of all the donor’s contributions to the organization.
Most Recent Program/Initiative Supported (Dropdown select): the most recent initiative name or type that the donor made a contribution to.
Supported Programs/Initiatives (Multiple checkboxes ): all initiative names or types that the donor has ever contributed to.
Recurring Gift Designation (Radio select): the designation provided for a donor’s recurring gift.
Donor Status (Radio select): current donorship status (property option examples: Current Donor, Lapsed Donor, Long-Lapsed Donor, Non-Donor).
Communication Preference (Dropdown Select): preferred method of communication for a prospective or current donor (propert option examples: Email, Daytime Phone, Evening Phone).
Topics of Interest for Future Support (Multiple checkboxes): initiative names or types that a prospective donor is interested in supporting in the future.
Philanthropic Priorities (Multiple checkboxes): any philanthropic interests that a donor or prospective donor supports or plans to support (property option examples: Education, Healthcare, Human Services, Arts and Culture).
Education Level (Dropdown select): the highest education level that a donor or prospective donor has achieved to date.
NPS (Number): Net Promoter Score a donor places on your organization, rated from 1-10.
Marital Status (Dropdown select): current marital status of a donor.
Political Giving History (Radio select): any history of past giving to political campaigns or causes.
Volunteering Frequency at Non-Profit Organizations (Dropdown select): the history of volunteer involvement at other non-profit organizations (property option examples: every week, every month, a few times per year, every year, less than once per year, planing to volunteer, none).
Type of Volunteering (Radio select): the types of non-profit organizations that a prospective or current donor has volunteered at in the past year.
Membership Expiration Date (Date picker): the date a current member's membership agreement expires.
Membership Start Date (Date picker): the date a current member began their current membership.
Membership Status (Radio select): the current status of membership for a contact. Examples: Current Member, Past Member, Non-Member.
Membership Type (Radio select): the type of membership that a current member hold at your organization (propert option examples: Staff, Professional, Student).
Membership Level (Dropdown select): the level of a current member at your organization.
Organization Type (Dropdown select): the type of organization that a member or prospective member is a part of.
Membership Number (Number): the membership number of a current member.
High School Graduation Date (Date picker): the date a member or prospective member graduated from High School.
Programs/Topics of Interest (Multiple checkboxes): all topics of interest that a prospective or current member is interested in learning about or pursuing further.
Other Affiliations (Multiple checkboxes): any affiliations a member may be associated with.
Email Opt-Out Reason (Radio select): reason that a member or prospective number has provided for opting out of email communications.
Education Level (Dropdown select): the highest education level that a member or prospective member has achieved to date.
Subscription Level (Radio select): the level of a member current subscription.
Subscription Expiration Date (Date picker): the expiration date for a member’s current subscription.
Subscription Type (Multiple checkboxes): the type of a member’s current subscription.
Date of Most Recent Event Attendance (Date picker): the date that a contact most recently attended one of your organization’s events.
Most Recent Event Attended (Dropdown select): the most recent event a contact attended.
Has Attended Paid Event (Single checkbox): if checked, the contact has attended a paid event for your organization.
Number of Events Attended (Number): total events to date that a contact has attended.
Last Annual Meeting Attendance Date (Date picker): the date that a contact last attended your organization’s annual meeting.
Event Types Attended (Multiple checkboxes): all types of events that a contact has attended at your organization (property option examples: annual meeting, webinar, summer fair, awareness rally).
