With the HubSpot deep research connector, you can connect your HubSpot CRM data with ChatGPT. This makes it easy to apply powerful, doctorate-level research and analysis to your customer data for HubSpot contacts, companies, deals, tickets, and their associations by using natural language prompts. For example, you could ask to provide an executive summary of your sales pipeline, identify companies for strategic growth, or find open deals likely to close soon. Learn more about use cases

Before you get started

Before getting started, please note the following:

  • The HubSpot deep research connector will automatically be available to all HubSpot customers across all tiers who have a paid ChatGPT plan (Enterprise, Team, Pro, Plus, or Edu).
  • EEA, Switzerland, and UK customers will need a ChatGPT Team, Enterprise, or Edu plan, and all other regions can use any paid ChatGPT plan: Enterprise, Team, Pro, Plus, or Edu.
  • HubSpot customer data is not used for AI training in ChatGPT. To learn more about the usage of your data by HubSpot and OpenAI, see the FAQs below
  • ChatGPT is a third-party service governed by your terms with OpenAI.
  • A Super Admin or a user with App Marketplace permissions in your HubSpot account must connect the HubSpot deep research connector for the first time. After that, other users can connect their HubSpot user login. 
  • To connect the HubSpot deep research connector, users with a Partner seat will need one of the following permissions:
  • The connector's scope is limited to read-only access. It can fetch core CRM objects limited to contacts, companies, deals, tickets, and their associations within ChatGPT, but it doesn't have the ability to edit the data in HubSpot. Their associations are limited to only contacts, companies, deals, and tickets.
  • The HubSpot deep research connector ensures users only see the CRM data they’re allowed to access in HubSpot. For example, individual sales reps will only see pipeline data for deals they have permission to view.
  • All interactions remain subject to HubSpot’s API usage limits.
  • HubSpot deep research connector is currently only available in the web version of ChatGPT. 
  • Customers will not be able to access custom Sensitive Data Properties or sensitive content from other Sensitive Data Covered Services - including Personal Health Information and other Highly Sensitive Data - through the HubSpot deep research connector. The HubSpot deep research connector will only have access to fetch contacts, companies, deals, tickets, and their associations.

Connect HubSpot to ChatGPT deep research

  1. In your ChatGPT chat window, click the Tools dropdown menu. 
  2. Click Run deep research
  3. Under Sources, click Connect next to HubSpot.
  4. You'll be prompted to select and log in to your HubSpot account.
  5. After logging into HubSpot, return to the ChatGPT chat window.
  6. In your ChatGPT chat window, click the Tools dropdown menu.Click Run deep research
  7. Under Sources, click to toggle the HubSpot switch on.

  1. Add your deep research prompt and click enter
  2. Answer any clarifying questions asked during your deep research query. You can view the progress of the query and the research activity log.

  1. Once the deep research report is available, you can view the report sources in the side panel. 
  2. You can use the citation inside the report or sources to jump to HubSpot record pages right from the deep research report and continue taking actions inside HubSpot.

Example use cases

The following examples outline the different ways you can leverage the HubSpot deep research connector to perform various tasks. 

Example use cases for Marketing Teams

  • Use the prompt “Find the highest-converting cohorts from recent contacts and create a tailored nurture sequence to boost engagement”. Then, use the insights to launch an automated workflow in HubSpot.
  • Use the prompt “Identify the personas that converted fastest from lead to customer in the last 90 days. Recommend key attributes to target in future campaigns”. Then, use the insights to build a lookalike audience or launch a persona-based sequence in HubSpot.

Example use cases for Sales Teams 

  • Find new opportunities using the prompt “Segment my target companies by annual revenue, industry, and technology stack. Based on that, identify the top opportunities for enterprise expansion”. Then, bring them back to HubSpot for prospecting.
  • Use the prompt “Compare win rate and average sales-cycle length for deals > $25K this quarter vs. last. Highlight the three slowest stages and recommend one friction-busting tactic per stage”. Then, use the insights to update your stage guidance in HubSpot.

Example use cases for Customer Success Teams

  • Use the prompt “Identify inactive companies with growth potential and generate targeted plays to re-engage and revive pipeline”. Then, then take those actions in the customer success workspace in HubSpot to drive retention.

Example use cases for Support Teams 

  • Use the prompt “Analyze seasonal patterns in ticket volume by category to forecast support team staffing needs for the upcoming quarter”. Then, activate Breeze Customer Agent in HubSpot to handle spikes in support tickets.
  • Use the prompt “Identify the 10 most common customer pain points based on support ticket categories from the past quarter”. Then, use the findings to update onboarding and product resources in HubSpot.

Disconnect the HubSpot deep research connector 

  1. In your ChatGPT chat window, click on your profile icon. Then, click Settings
  2. In the left sidebar menu, navigate to Connectors
  3. In the Enabled Connectors section, click HubSpot
  4. In the top right of the HubSpot deep research connector settings, click Manage. Then click, Disconnect

Frequently Asked Questions

Find answers and general information quickly about the HubSpot deep research connector.

What's the expected output when I ask ChatGPT to draft an email campaign or workflow? Will the HubSpot deep research connector build out the marketing emails and workflow? Or will ChatGPT suggest the copy, triggers, actions, etc., in the ChatGPT pane?

It'll draft the email content in the report, with no direct action inside HubSpot. Because it has read-only access, one of two things can happen: ChatGPT will provide instructions on how to apply the drafted email content in HubSpot, or it'll draft the email content as part of the report.

I'm a HubSpot Partner who manages multiple HubSpot accounts: can I connect a specific account to a ChatGPT project? 

Currently you can only connect one HubSpot account at a time to a single ChatGPT account. To work with a different HubSpot account, you’ll need to disconnect the current one and reconnect the desired account from the ChatGPT side. While you can’t manage multiple connections simultaneously, you can manually switch between accounts.

Does the HubSpot deep research connector require impeccable data management (i.e. most of your database tagged by persona)?

While clean and well-organized data improves the quality of insights, the connector does not require perfectly tagged data. It works with your contacts, companies, deals, and tickets, offering useful analysis even if your CRM data isn’t perfectly structured.

Will HubSpot’s MCP server respect my data localization preferences? 

Yes. HubSpot has built its MCP servers to respect your data center location when data is routed through our MCP servers. For example, accounts hosted in the EU will have requests routed through the EU data center.

Will all connectors (such as the HubSpot deep research connector) respect my data localization preferences? 

When our connectors are enabled by third party tools, the terms you have with those third party tools will govern where and how your data is processed in that tool. Please be sure to check your third party licenses to confirm where your data resides and that it is processed in accordance with your preferences. 

Will the HubSpot deep research connector have access to sensitive data?

The HubSpot deep research connector does not provide access to custom Sensitive Data Properties or sensitive content from other Sensitive Data Covered Services, including Personal Health Information and other forms of Highly Sensitive Data. It has read-only access to standard records such as contacts, companies, deals, tickets, and their associations.

How will OpenAI use data accessed through the HubSpot deep research connector?

When you connect the HubSpot deep research connector, ChatGPT will use data from the connector as context to help ChatGPT provide you with responses. Will OpenAI use the data I access via the HubSpot connector to train their AI models?

No, when you use the HubSpot deep research connector, your data is protected from being used for AI training. OpenAI will not use data accessed via the HubSpot deep research connector for AI training.

How can I ensure that ChatGPT will not use my data coming from other non-HubSpot sources for AI training?

For the most control over your data across all your ChatGPT usage, you can adjust the Improve the model for everyone setting in your ChatGPT account.

How does the HubSpot deep research connector handle user permissions?

The HubSpot deep research connector automatically respects the user permissions defined in HubSpot. This means users will only see in ChatGPT the CRM data they’re allowed to access in HubSpot. For example, individual sales reps will only see pipeline data for deals they have permission to view. Some CRM objects in HubSpot have customizable permissions. How long does OpenAI retain data accessed through the connector?

OpenAI retains data accessed through the HubSpot connector to enable the connector to function within ChatGPT. Upon termination of your OpenAI account, some data may be retained to maintain your service history. How long does ChatGPT retain or delete data?

When the HubSpot deep research connector is enabled by third party tools, the terms you have with those third party tools will govern data retention and deletion. What visibility into audit logs or real-time data do Super Admins have for the connector?

Super Admins can use audit logs to have visibility into which users have connected or disconnected the HubSpot deep research connector to the account, as well as the date and time of connection. Learn more about what audit logs are available from OpenAI

How is HubSpot helping customers understand how these connectors work and what risks might be associated with third party connectors?

How is customer or CRM data kept secure with this connection? 

You have control over what data you share, with what third party connectors, as well as the permissions and settings you’ve chosen in your HubSpot and third party accounts. Can OpenAI copy my entire CRM or customer lists through the connector?

Could using this connector inadvertently enable competitors to gain insights into a company's CRM data or strategy?

HubSpot customer data is not used for AI training in ChatGPT. Can external agencies or consultants with Super Admin access connect CRM data directly to ChatGPT without additional oversight?

The HubSpot deep research connector respects the permissions in your HubSpot account. If external agencies or consultants in your HubSpot account have Super Admin access, they can connect the HubSpot deep research connector in your HubSpot account. After that, other users can connect their HubSpot user login. The connection attempt is logged. Like all third party tools, you should carefully evaluate the benefits and risks of use.

Does this integration comply with strict privacy regulations, such as GDPR, particularly in the EU?

While HubSpot's products and tools can support your privacy compliance efforts, use of HubSpot products alone does not make you compliant. HubSpot’s Data Processing Agreement applies to your use of HubSpot Services, and we aim to be as transparent as possible regarding what our features are capable of and the protections we have in place. Ultimately, you are best placed to understand your data protection obligations and whether our Services meet your compliance needs. 

Can ChatGPT hallucinate or provide inaccurate data in deep research? What can customers do to protect against that?

ChatGPT can make mistakes! We recommend a few techniques for ensuring that the results produced by the deep research connector are accurate and reliable: 

  • Make sure your connected account data is up to date and accurate.
  • Have a human in the loop to review, refine, and fact-check the output. 
  • Ask for citations and references for any important facts and assertions so that you can quickly and easily confirm them in your HubSpot account. 
  • Never indiscriminately rely on any AI output to make important decisions.
