Add collaborators to a deal

If multiple users in your HubSpot account work together on a deal, you can add them as collaborators to keep track of those involved. Each collaborator can access a default view that lists all deals they're included on.

Deal collaborators don't receive credit for the amount of the deal, so if any collaborators need monetary credit, you should add them to a deal split (Sales Hub Enterprise only). Users can be included both in a deal split and as a collaborator for the same deal.

Turn on deal collaborators

Users with Super Admin permissions can turn on deal collaboration in the deal settings.

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Objects > Deals.
  3. Select the Allow users to add collaborators checkbox. 

If you haven't edited your deal record view, the Collaborators card will be automatically added to the left sidebar of your deals. If you've edited the view, you'll need to add the card to the left sidebar before you can edit collaborators on a deal.

Manage collaborators from an individual deal

Once deal collaboration is turned on in your settings, users with Edit deal permissions can add collaborators to a deal. Users automatically gain view and edit access for any deals in which they've been set as a collaborator. To remove collaborators or delete deals, users must also have Delete deal permissions.

Add collaborator

  1. In your HubSpot account, navigate to CRM > Deals.
  2. Click the deal you want to add a collaborator to.
  3. In the left sidebar, in the Collaborators section, click Add.
  4. In the right panel, click the dropdown menu, then select the checkboxes next to any users you want to add.
  5. Click Add collaborators to confirm.

Please note: you cannot edit deal collaborators in the HubSpot mobile app.

Edit or remove collaborators

  1. In your HubSpot account, navigate to CRM > Deals.
  2. Click the deal you want to add a collaborator to.
  3. In the left sidebar, in the Collaborators section, click the box containing the . In the right panel, add or remove collaborators, then click Update collaborators.
  4. To remove all existing collaborators, hover over the box and click Remove. In the dialog box, click Remove collaborators to confirm.

Manage collaborators in bulk

You can use the Edit record workflow action to add, edit, and remove deal collaborators in bulk. For example, you can create a workflow that enrolls all deals in your Upmarket pipeline and adds sales managers as collaborators. You can also import to add collaborators to deals in bulk using the Deal collaborator property.

Add collaborators via workflows

  1. In your HubSpot account, navigate to Automation > Workflows.
  2. Click the name of a workflow.
  3. Configure your enrollment triggers, then click Save.
  4. Click the addIcon add icon, then in the left panel, click Edit record.
    • Click the Record type dropdown menu and select Deal.
    • Click the Property to edit dropdown menu and select Deal collaborators.
    • Click the Choose a value dropdown menu and select users.
    • Select Append to current values.
    • Click Save.
  5. When you're finished, in the upper right, click Review and publish.

Edit or remove collaborators via workflows

  1. In your HubSpot account, navigate to Automation > Workflows.
  2. Click the name of a workflow. 
  3. Configure your enrollment triggers, then click Save.
  4. Click the addIcon add icon, then in the left panel, click Edit record.
    • Click the Record type dropdown menu and select Deal.
    • Click the Property to edit dropdown menu and select Deal collaborators.
    • Click the Choose a value dropdown menu and select users.
    • Select Replace current values.
    • If you want to remove all collaborators, select Clear existing property value.
    • Click Save.
  5. When you're finished, in the upper right, click Review and publish.

View deals you're collaborating on

Once you've been added as a collaborator on deals, you can access a default view that includes all deals you're working on. To access the view:

  1. In your HubSpot account, navigate to CRM > Deals.
  2. In the table view, click the Deals I'm collaborating on tab. If this view does not appear as a tab, click + Add view, then select Deals I'm collaborating on in the dropdown menu.
