View the order object

The order object stores information about e-commerce purchases in HubSpot. For example, when a buyer adds a set of products to their cart and makes a purchase, that purchase is stored in HubSpot as an order. 

View and edit the order record

To view your order records:

  • In your HubSpot account, navigate to CRM > Contacts.
  • On the upper-left, click ContactsOrders.
  • On the record index page, locate the record you want to work with and click the name

The order record is like other object records in HubSpot. You can interact with the record, view activities on the record timeline, and associate other objects like contacts, companies, and orders with it. You can also:

Create a list of order records

You can also create a list of order records. To do so:

  • In your HubSpot account, navigate to CRM > Lists.
  • Click Create list
  • Select Order-based
  • Enter a name for the list and click Create.
  • Click Add filter and select any Order properties. You can also filter on any associated objects. 
  • Click Save list

Using a mix of filters, you can create a list of contacts who have bought a specific product from an order:

  • Create an order-based list to find all orders with a specific line item.
  • Create a contact-based list to filter for all contacts who have associated orders in the above list. 

Manage the order pipeline

You can create and customize order pipelines to manage and track your orders over time. 

To create a new order pipeline:

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to ObjectsOrders.
  • Click the Pipelines tab.
  • Click the Select a pipeline dropdown menu, then select Create pipeline

There are three columns in the pipeline: stage name, status, and order total. 

The order totals are calculated using the following logic:

  • The total is based on the amount in company currency. This is calculated using the exchange rate for the company currency on the price in the original currency.
  • If the exchange rate on the order's Created Date isn't available, it defaults to the exchange rate on the Object Created Date/Time
  • If that isn't available, it defaults to the current exchange rate.
  • If the currency used on the order isn't configured in your HubSpot account, the exchange rate defaults to one. 

Edit or delete order pipelines

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Objects > Orders
  • Click the Pipelines tab.
  • Click the Select a pipeline dropdown menu and select a pipeline
  • On the right, click the Actions dropdown menu and select one of the following:

    • Rename this pipeline: change the pipeline’s name. In the dialog box, enter the new name, then click Rename.
    • Reorder pipelines: change the order of your pipelines. In the pop-up box, drag the pipelines to move them to a new position, then click Save.
    • Manage access: manage which users can view and edit the pipeline.
    • Delete this pipeline: delete the pipeline. In the dialog box, click Delete pipeline to confirm. You can't delete a pipeline if it contains orders. You'll need to delete or move orders to another pipeline before deleting the pipeline.
  • Click Customize board and card view to select the properties that are displayed on the board and board cards for the pipeline.

Add, edit, or delete order stages in a pipeline

You can use order stages to categorize and track the progress of your ongoing orders in HubSpot. You can also add stages or edit and delete existing stages. To customize the stages in a pipeline:

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Objects > Deals.
  • Click the Pipelines tab.
  • Click the Select a pipeline dropdown menu, then select the pipeline to edit.
  • To add a new order stage:

    • Under the existing order stages, click + Add stage.

    • Enter an order stage name, then click the dropdown menu in the Status column and select a status

  • To change the name of an existing deal stage, click the stage's name, then enter a new name in the text box. 
  • To reorder stages, click the stage and drag it to a new position.

  • To view the internal name for a deal stage, hover over the stage and click the code code icon. The internal name is used by integrations and the API.
  • To delete a stage, hover over a stage and click Delete. If there are orders in the stage you're deleting, you'll need to move these existing orders to another stage.

  • Once you're done editing, click Save.
