In the Agent Hub workflow builder, when using triggers associated with CRM records, you can manually enroll and run the workflow for specific records. Records can be enrolled in both published and drafted Agent Hub workflows.
Understand limitations and considerations
Permissions required Super Admin or Workflows permissions are required to use and manually enroll records in the Agent Hub workflows tool.
- The Agent Hub workflow must have a trigger associated with a CRM record (e.g., Record created, Contact viewed a document). If the workflow has a trigger not asssociated with a record (e.g., Run on a schedule, Google sheet row added or updated), the option to select a record to manually enroll will not appear.
- Currently, it is not possible to manually enroll records in Agent Hub workflows in bulk. You can only enroll individual records.
- To enroll records in bulk, create a segment and use the Records match criteria enrollment trigger and select the option for Records added to a segment. Then, when turning on the workflow, select the option to Start runs for eligible records immediately.
- If you've previously used the workflow, it is also recommended to select the option to allow records to repeat runs to ensure that all records in a segment are enrolled.
Manually enroll records in Agent Hub workflows
- In your HubSpot account, navigate to Agents > Agent Hub.
- At the top, click the Workflows tab.
- Click the name of an existing workflow built in the agent builder.
- In the top right, you can select from Run or Run draft.
- If your workflow is turned on, or you'd like to enroll a record in the latest published version of the workflow, select Run. If you have drafted changes, click the downCaratIcon down icon and select Run.
- If your workflow is turned off, or you'd like to enroll a record in the unpublished, drafted version of the workflow, select Run draft.
- This will enroll the record into the drafted version of the workflow.
- All actions will execute, including sending emails and any actions that consume credits.
- If you'd like to test the workflow, it is recommended to use this option with test contacts instead of existing customers.
- In the right panel, click the Record to run against dropdown menu and select the record that you'd like to manually enroll in the workflow.
- At the bottom, click Run. After your record is enrolled, in the left panel, you can review your record run performance.
