Create automations from the automation side panel

Available with any of the following subscriptions, except where noted:

From your contact, company, deal, or ticket index pages, you can create and manage simple automations. You can also create automations directly from Agent Hub.

For example, from your deals index page, you can set up automations to create a new task whenever a deal's stage is updated, or send a notification to a deal owner when a deal is at risk.

You can review a customized list of suggestions based on your account and user behavior. You can also create an automation from scratch, or select from a workflow template from a template library.

Permissions required Workflow permissions are required to create and publish automations from the object index page.

Create a new automation 

When creating a new automation from your index page, you can review and use generated automation suggestions. You can also create the automation from scratch with AI, or use a template from the automation template library. 

  1. Navigate to Agent Hub, or your contact, company, deal, or ticket index page:
    • Agent Hub: In your HubSpot account, click More, then navigate to Agents > Agent Hub. If More doesn't appear in your account, navigate to Agents > Agent Hub directly.
    • Contacts: In your HubSpot account, click More, then navigate to CRM > Contacts. If More doesn't appear in your account, navigate to CRM > Contacts directly.
    • Companies: In your HubSpot account, click More, then navigate to CRM > Companies. If More doesn't appear in your account, navigate to CRM > Companies directly.
    • Deals: In your HubSpot account, click More, then navigate to CRM > Deals. If More doesn't appear in your account, navigate to CRM > Deals directly.
    • Tickets: In your HubSpot account, click More, then navigate to CRM > Tickets. If More doesn't appear in your account, navigate to CRM > Tickets directly.
  2. To create a new automation from Agent Hub, in the top right, click Create and select Workflow. You'll be automatically directed to the automation editor. Continue setting up your automation triggers and actions

  1. To create a new automation from your record index page, in the top right, click the automations icon. An automation panel will appear with suggested automations and template options.

    • To use a suggested automation based on your account context, under Recommended automations, review and use your automation recommendations. To use an automation, click the automation name.
      • You'll be automatically directed to the automation editor.
      • You may be prompted to populate certain actions and triggers.
    • To create an automation from a blank editor, click Create from scratch.
      • You'll automatically be redirected to the automation editor.
      • You can manually add triggers and actions, or use Breeze Assistant to build your automation. 
    • To create an automation from an existing template:
      •  Click Browse templates
      • In the Automation template library section, enter a search term in the search bar to locate a specific automation template.
      • To use the automation, click on the automation name. You can review additional details about the automation.
      • Click Use template. You'll automatically be redirected to the automation editor with the template populated.

Set up automation triggers

When creating an automation from an object index page, you can select from the following triggers. Learn more about different enrollment triggers.

  • Record created
  • Property value changed
  • On a schedule
The automation enrollment trigger will automatically appear at the top of the editor. To configure your automation triggers: 
  1.  Click the dropdown menus for the trigger and select your options. For example, when enrolling records based on a schedule, you'll need to select the cadence for enrollment.
  2. You can also add and configure enrollment triggers using Breeze Assistant.
    • In the Breeze Assistant text field, enter your prompt for the trigger.
    • Continue configuring your trigger within Breeze Assistant. Changes will automatically reflect in the automation editor.

Add actions to the automation

When creating an automation from an object index page, you can select from the following actions. Learn more about different automation actions.

  • Delay
  • Send internal email notifications
  • Create task
  • Add to static segment
  • Run custom agent

To add actions to your automation:

  1. To add new step in your automation, click + Add next step.
  2. Configure your action:
    • Click the dropdown menus for the action and select your options. For example, when creating a task, you'll need to select a task priority. 
    • Enter any action details in the text fields. For example, when creating a task, you'll need to enter a task title. 
  3. You can also add and configure actions using Breeze Assistant.
    • In the Breeze Assistant text field, enter your prompt for the action. 
    • Continue configuring your action within Breeze Assistant. Changes will automatically reflect in the automation editor.

Publish and review your automation performance

Before turning on your automation, it's recommended to enter a unique name for the automation. After setting up your automation, turn on your automation. 

  1. To add or update your automation name, in the top left of the automation panel, click the edit icon. Then, enter a name for your automation.
  2. To publish your automation and begin enrolling records, in the top right of the automation panel, click Publish
    • Existing records that meet the enrollment trigger will not be automatically enrolled.
    • Only records that meet the enrollment trigger moving forward will enroll in the automation.
    • Records can only enroll in each automation once.
  3. After publishing your automation, to review your automation performance, click the three horizontal dots icon and select Run history

Delete your automation 

Permanently delete an automation from your object index page automations. Deleted automations cannot be restored. 

Delete an automation from the object index page

  1. Navigate to your contact, company, deal, or ticket index page:
    • Contacts: In your HubSpot account, click More, then navigate to CRM > Contacts. If More doesn't appear in your account, navigate to CRM > Contacts directly.
    • Companies: In your HubSpot account, click More, then navigate to CRM > Companies. If More doesn't appear in your account, navigate to CRM > Companies directly.
    • Deals: In your HubSpot account, click More, then navigate to CRM > Deals. If More doesn't appear in your account, navigate to CRM > Deals directly.
    • Tickets: In your HubSpot account, click More, then navigate to CRM > Tickets. If More doesn't appear in your account, navigate to CRM > Tickets directly.
  2. In the top right, click the automation icon.
  3. In your automation library, search for and select the automation that you'd like to delete. 
  4. Click the More dropdown menu and select Delete.
  5. In the dialog box, click Delete

Delete an automation from Agent Hub

  1. In your HubSpot account, click More, then navigate to Agents > Agent Hub. If More doesn't appear in your account, navigate to Agents > Agent Hub directly.
  2. At the top, click the Workflows tab. 
  3. In the table, hover over the workflow that you'd like to delete and click Delete
