Collaborate in HubSpot Work

Use HubSpot Work to review what needs your attention, complete action items, and collaborate on shared work. Update tables and documents to manage information, coordinate tasks, and keep HubSpot Work projects on track.

Permissions required An assigned Core, Sales, or Service seat is required to use HubSpot Work.

Projects in HubSpot Work aren't related to the projects object or Breeze Assistant projects.

Collaborate on a table

Permissions required

Update fields, add files, and link CRM records within a table to coordinate on project data. You can also create and use saved views to organize work within a table.

Edit and use a table view

  1. In your HubSpot account, click More, then navigate to Work Management. If More doesn't appear in your account, navigate to Work Management directly.
  2. In the upper left, click the workspaces dropdown menu, then select a workspace.
  3. In the left sidebar, click the name of a table.
  4. To use a saved view, click the name of a view tab to navigate between saved views with different filters and display configurations.
  5. To edit the table layout, click the New dropdown menu, then select an option:
    • Group: add an organizational category to the table.
    • Column: add data to the table such as a CRM reference field, a HubSpot Work document link, or a dropdown menu.

  6. To edit the table color, row height, and text wrapping, click the configure table view icon.

Complete work in a table

  1. In your HubSpot account, click More, then navigate to Work Management. If More doesn't appear in your account, navigate to Work Management directly.
  2. In the upper left, click the workspaces dropdown menu, then select a workspace.
  3. In the left sidebar, click the name of a table.
  4. To complete work actions:
    • Add data: click Add item, then fill in the details of the action item.
    • Edit data: click a field in the row to make changes to the action item.
    • Complete items: select the checkbox next to the action item, then select Mark as done.
    • Remove items: select the checkbox next to the action item, then select Delete. In the dialog box, click Delete to confirm.

Collaborate on a document

Permissions required Project Contributor permissions are required to collaborate on a document.

Co-edit documents with other users in the project. Tag users in comments with mentions, resolve feedback, and view line-by-line version history.

  1. In your HubSpot account, click More, then navigate to Work Management. If More doesn't appear in your account, navigate to Work Management directly.
  2. In the upper left, click the workspaces dropdown menu, then select a workspace.
  3. In the left sidebar, click the name of a document.
  4. Within the document, you can:
    • Edit: modify and style text inline.
    • Add content: add information such as style elements, documents, and media. Click the body of the document, then click the insert content icon to add content.

    • Add comments: mention other users in comments to collaborate on the content. Click and drag to highlight text, then select the  comment icon in the context menu to add a comment and mention users.

    • Share: share the document with other users in the workspace or your HubSpot account. In the upper right, click Share, then configure access permissions.
    • View version history: review each iteration of the document in a diff style. In the right sidebar, click the version history icon, then select a timeline to compare or restore.
    • Export: share the document with users outside of the workspace or outside of HubSpot. In the upper right, click the  three horizontal dots icon, then select Export as Markdown. The download will start and save the file to your computer.
