Manage contact email logging rules

By default, emails are only logged to HubSpot if they are part of an existing thread that has been already logged. Super admins and users with Account access permissions can manage the account's default contact email logging rules and configure which incoming contact emails are logged to the CRM.

To manage contact email logging rules:

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Objects > Activities.
  • In the Contact email logging rules section, select an option:
    • Log replies only: this option is selected by default for all accounts. Replies will only be logged if they are part of an existing thread logged in the CRM. Incoming messages not associated with a logged thread will not be logged.
    • Log all emails: this option will log all emails to and from existing contacts sent from any of your connected email addresses. For an email to log, it must be sent by a user who has Personal email access permissions to contacts who are not on the Never Log list.
      • All emails users send from outside of HubSpot (such as the email client, mobile apps) to existing contact records will log to the CRM.
      • All emails from existing contacts to users will log to the CRM.
      • Emails sent outside of HubSpot to recipients who are not contacts, will not log. You will need to continue using the Sales Extensions or add the BCC address.

Email attribution

The following rules determine which user is attributed as the sender of the email logged to the CRM. These rules also determine which emails are counted towards a user's total activity in your sales reports.

Emails logged from contacts that create new email threads will be attributed to HubSpot users as follows:

  • If the email only has one recipient, it will be attributed to that user.
  • If the email has multiple recipients, but only one is associated with a user, it will be attributed to that user. An email address is associated with a user if it's connected as their personal email address, it's their HubSpot user account email, or an email alias.
  • If the email has multiple recipients, and more than one associated with a user, attribute to the contact owner.
