Add an email alias

An email alias is an alternate address that points to your existing email account. Send emails using an alias directly from the CRM, or log emails from your inbox by adding the alias to your profile & preferences settings.

Before you get started

  • Alias support within the CRM is available for personal inboxes connected through Gmail or Microsoft Outlook. Inboxes connected using Microsoft Exchange or IMAP must log alias emails using the BCC address or HubSpot Sales add-in.
  • An email alias cannot be used to send emails from a team email address connected to the conversations inbox.

Alias support for Gmail inboxes

When you connect a Gmail inbox that already has an alias configured, the alias is automatically available in the From dropdown menu when sending one-to-one and sequence emails.

If you add an alias to your Gmail account after you connect your inbox to HubSpot, it may take up to 24 hours for the alias to be available in your HubSpot account.

Send one-to-one emails using a Gmail alias

  1. Navigate to your records (e.g., In your HubSpot account, navigate to CRM > Contacts.).
  2. Click the name of a record.
  3. In the left panel, click the emaiEmail icon.
  4. In the email composer, click the From dropdown menu and select the alias that you want to send from.

Send sequence emails using a Gmail alias

Subscription required A Sales Hub or Service Hub Professional or Enterprise subscription is required to use sequences. 

Seats required for certain features An assigned Sales or Service Seat is required to use sequences. 

Permissions required Sequences and Communicate permissions are required to use sequences. 

  1. Enroll your contact in a sequence.

  2. Click the From dropdown menu and select the alias that you want to send from.

Alias support for Microsoft Exchange and IMAP connected inboxes

If your inbox is connected to HubSpot using Microsoft Exchange or IMAP, you cannot send emails from within the HubSpot CRM using an email alias.

If you're using the Outlook app, you can use an alias to send emails from your connected email address and log them to HubSpot using the BCC address or the HubSpot Sales add-in. Aliases are not automatically added to HubSpot when connecting your inbox with Microsoft Exchange or IMAP, so you must add the alias to your Profile & Preferences:

  1. In your HubSpot account, click the settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to General.
  3. Click the Email tab.
  4. In the Configure section, click Add email alias.
  5. Enter the email alias, then click Save.

Alias support for Microsoft Outlook inboxes (BETA) 

Please note: if you're a Super Admin, you can opt your account into the Send from Outlook aliases beta. 

Use the aliases of your connected Microsoft Outlook account to send emails from HubSpot. After opting in to the Send from Outlook aliases beta, disconnect and reconnect your personal email to HubSpot. Once reconnected, your available aliases will appear in the From dropdown menu when sending emails.

Necessary disclosure: Aliases are only accessible to HubSpot's integration via the Beta version of Microsoft's Graph API. This feature is subject to change and break without warning. HubSpot cannot fully release and support this feature until Microsoft also does so.
