Create shared partner deals

Register your partner leads in HubSpot using the shared deal card on a contact, company or deal record. When you create a shared deal, it is automatically registered and assigned to a HubSpot sales representative.

You can either create a shared deal from a contact or company record, or register an existing deal record as a shared one. 

Create a shared deal

To create a shared deal, create a deal from the deal or contact record: 

  • Navigate to your contact or company records:
    • Contacts: In your HubSpot account, navigate to Contacts > Contacts.
    • Companies: In your HubSpot account, navigate to Contacts > Companies.
  • Click the name of the contact or company you want to register.
  • In the right panel, navigate to the Shared deal section.
  • Click +Add.
  • In the right panel, enter your shared deal details.

  • Click Next
  • Enter qualifying information about the deal in the Intro note, Specific pain/opportunity defined and Next steps fields.
  • Click Create shared deal.

After the deal has been created, you can edit the Product Interest field if it changes throughout the sales process:

  • In the Shared deal section, hover over the Product Interest field and click Edit.
  • Click the Edit product interest dropdown menu and select the relevant HubSpot products.
  • Click Change Product

Register an existing deal as a shared deal

To register an existing deal as a shared deal, the following conditions need to be met:

  • As a partner, you need to be under your capacity limit.
  • There must be a company and contact record associated with the deal record.

To register the deal:

  • In your HubSpot account, navigate to Sales > Deals.
  • Click the name of the deal you want to convert to a shared deal.
  • In the right panel, in the Shared Deals section, click Convert to shared deal.
  • Click the Partner dropdown to select the partner you want to add to the deal.
  • Click the Partner contact dropdown to select the deal owner. 
  • Add a welcome note to share more information about the deal with the partner. 
  • Click Next
  • Review the details, and select the You have reached out to this partner to confirm availability to work the deal. checkbox.
  • Click Add partner.

Creating a shared deal in a partner account will automatically create the deal in HubSpot's CRM and assign it to a HubSpot sales representative. As a partner, you can view key deal information that syncs from HubSpot when a deal is created and updated. Any partner updates on the deal will also sync to your HubSpot sales representative. 

Both the HubSpot sales representative and the partner will have shared visibility to notes, comments, partner compensation eligibility, products selected during deal registration, and any quotes associated with the deal record if relevant.

Track registered deals in your partner account

You can view and track registered deals in your partner portal by creating a filtered view on your Deals home using the Number of Active Deal Registrations property. Any deals that your HubSpot sales representative registers for you will be included in the filter and assigned to the partner lead notifications recipient.

To set a partner lead notification recipient:

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • In the left sidebar menu, navigate to Partners.
  • In the Communications section, Get notified about your registered leads' activity with HubSpot setting, click to toggle the switch on to trigger these email notifications.
  • Click the Select notification recipient dropdown menu to select the user to receive the email notifications.

Set a default pipeline

To add a default pipeline for shared deals: 

  • In your HubSpot account, click the settings settings icon in the main navigation bar.
  • Click PartnersShared Deals.
  • Click the Referred deal pipeline dropdown menu and select the pipeline you want shared deals to be added to. 

This will not override an existing pipeline for any deals. 

Add users to a shared deal

Any user in your partner portal can be added to the selling team for a shared deal. Once added, the user will receive all activity notifications on the shared deal. 

  • Navigate to the shared deal
  • Hover over the Deal team field and click Edit
  • In the Edit deal team pop-up, select the users you want to add to the deal. You are only able to add users in your account. 
  • Click Save

Once added, all members of the Deal team will be visible on the Shared deals card and will receive notifications about the deal.

View all shared activity

You can view all shared activity on a shared deal to make it easier to streamline your communication with HubSpot. 

  • In your HubSpot account, navigate to Sales > Deals.
  • Click the name of a shared deal.
  • At the top of the deal record, navigate to the Shared tab. Only activity shared with HubSpot will appear in this tab.

Communicate with the HubSpot Sales team

You can log shared notes on a shared deal to collaborate and respond to your assigned HubSpot sales representative. 

  • In your HubSpot account, navigate to Sales > Deals.
  • Click the name of a shared deal.
  • In the Shared tab on the record timeline, click Add Shared Message. The note editor will pop up.

  • Type your note, then click Save note. The note will automatically sync to HubSpot's CRM. 
  • You can attach and share files and images on shared deals. If you want to delete a file or image, you can do this from the note in the shared deal and it will be deleted in both accounts.
  • When a HubSpot Sales representative shares a note you will be notified. You can comment on any shared note to sync it to HubSpot's CRM.
  • To create a private note that is not synced to HubSpot's CRM, click Create Note in the Notes tab on the record timeline.

You can also request a shared deal from your assigned HubSpot sales representative.

  • In your HubSpot account, navigate to Sales > Deals.
  • Click the name of a shared deal. 
  • In the Shared deals section, click Request shared deal. The note editor will pop up.
  • Type your note, then click Save note. The note will automatically sync to HubSpot's CRM. 

When a quote is purchased and the deal is moved to closed won, you will see a banner on the shared deal in their portal indicating that the customer has purchased the deal.

Conversely, if deal is moved to closed lost, you will see the following banner on the shared deal:
