Manually associate payments with other records

Available with any of the following subscriptions, except where noted:

Manually associate payments with records to track the customer journey, centralize transaction data, and streamline reporting. Online payments may be automatically associated with other records. Learn what happens after an online payment is processed.

Keep in mind the following when adding associations:

  • Updating an existing association replaces the previous association.

  • You can only associate one subscription, contact, company, deal, and custom object record with a payment record.

  • Contacts, companies, deals, and subscriptions can each have multiple associated payments.

Manually associate payments with standard object records

Please note: you can only associate a payment with an invoice by recording payments on the invoice. 

  1. Navigate to your records:
  2. Open the right sidebar by clicking the name of a record, or by clicking Preview. The behavior depends on the object index page you're on.
  3. In the right sidebar, on the Payments card, click + Add. If the Payments card isn't displayed on the record by default, you can manually add the card.
  4. Select the checkboxes next to the payments to add, then click Save.

  5. If an association already exists, to view the associated record's details, hover over the record and click the preview icon. Or, click the ellipses three dots icon and select Remove association to remove the association between the payment and the custom object, or Edit association labels to update the association labels.

Manually associate payments with custom objects

Subscription required An Enterprise subscription is required to create custom objects.

Permissions required Super Admin permissions are required to configure the data model.

Associate payments with custom objects to add context to your data model when using custom objects alongside HubSpot's standard objects. Association limits depend on your subscription. Learn more about association limits in the product and services catalog.

  1. Create a custom object.
  2. In your HubSpot account, navigate to Data Management > Data Model.
  3. In the upper right, click ediEdit data model.
  4. On the custom object card, click View all.

  5. Next to the custom object card, click +.

  6. Click the Select the object you want to associate to [custom object name] dropdown menu and select Payments.
  7. Click Create.
  8. To add payments to the custom object:
    • In your HubSpot account, click the settings icon in the top navigation bar.
    • In the left sidebar menu, navigate to Objects > [custom object].
    • Click the name of a custom object record.
    • In the right sidebar, navigate to the Payments card. If the Payments card isn't displayed on the record by default, you can manually add the card to your HubSpot record.
    • Click + Add to associate existing payments with the custom object.
    • In the right panel, select the checkboxes next to the payments you want to associate and click Save.

  9. To view more details about associated payments from the custom object:
    • In your HubSpot account, navigate to CRM > [custom object].
    • Click the name of a custom object record.
    • In the right sidebar, navigate to the Payments card. If the Payments card isn't appearing on your record by default, you can manually add the card to your HubSpot record.
    • To view the all of the associated payments, click View all associated payments.
    • To view the payment details or edit association labels, or remove the association, hover over the payment and choose an option.
      • Click the preview preview icon to view the payment details in the right panel.
      • Click the ellipses three dots icon and select Remove association to remove the association between the payment and the custom object, or Edit association labels to update the association labels.
