Customize guided actions

Guided actions are HubSpot-powered recommendations that highlight the next best steps to drive pipeline growth and close deals in the sales workspace. If you're a Super Admin, you can choose which guided actions your team sees and set the time for when each type of guided action is shown.

Switch guided actions on or off

You can toggle guided actions on or off in the settings for the sales workspace.

  • To toggle guided actions on or off:
    1. In your HubSpot account, click the settings settings icon in the top navigation bar.
    2. In the left sidebar menu, navigate to Sales Workspace.
    3. Click the Guided Actions tab.
    4. In the guided actions table, click to toggle the switch on or off next to each guided action. Learn more about guided actions.
    5. The Details column tells you which default action will be suggested when the user is in the guided execution queue. It also tells you when the guided action will be suggested.

  • When finished, click Save on the Sales Workspace settings page.

Edit a guided actions default action

You can edit a guided actions default action. For example, if the guided action is to Re-engage past leads, and the default action is to Make a call, you can change this to Create an email instead.

  • To edit the default action that'll be suggested:
    1. In your HubSpot account, click the settings settings icon in the top navigation bar.
    2. In the left sidebar menu, navigate to Sales Workspace.
    3. Click the Guided Actions tab.
    4. Hover over the guided action and click Edit
    5. In the right panel, click the Default action dropdown menu, then select a new guided action. For example, for Re-engage past leads, the default action is Make a phone call. You can change the default action to Create an email. Then the suggested activity going forward will guide the user to create an email to re-engage the lead.
    6. Click Save.
  • When saved, the suggested activity in the guided execution queue will be the new guided action you selected.

Edit a guided actions time frame

You can edit a guided actions time frame to fit your team's needs. For example, if the guided action is to Re-engage past leads that have re-engaged with you in the last three days, you can change this to the last four days instead.

  • To change the time frame for a guided action:
    1. In your HubSpot account, click the settings settings icon in the top navigation bar.
    2. In the left sidebar menu, navigate to Sales Workspace.
    3. Click the Guided Actions tab.
    4. Hover over the guided action and click Edit
    5. In the right panel, enter the new number or use the upIcon increase and downIcon decrease icons in the counter.
    6.  Click the timeframe dropdown menu to select the desired unit (hours, days, or weeks). For example, for Re-engage past leads, the default time frame is three days. You can increase this to four days. The action will then trigger only after four days with no reply.
    7. Click Save
  • When saved, the time frame for the suggested activity in the guided execution queue will be the new time frame you selected.
